About The Position

The Front Desk Assistant supports and assists general office activities and projects withadministrative tasks. Provides customer service support. Under moderate supervision, work mayinvolve contact with homeowners and board members.

Requirements

  • 2+ years of corporate front desk admin experience.
  • Excellent communication skills, written and spoken, and conflict resolution techniques.
  • Customer service driven and team oriented.
  • Highly organized, ability to manage multiple projects simultaneously, and allow for interruptions while maintaining a positive demeanor.
  • Systems savvy.

Responsibilities

  • Manage the Front Desk, Monday - Friday, 8am - 4:30pm with a 30 minute lunch break.
  • Meet and greet homeowners, residents, visitors, guests, vendors and contractors.
  • Research and respond to inquires in-person, by phone, and email.
  • Manage a multi-line phone line and direct calls.
  • Data enter and update data in the database.
  • Track information and run reports.
  • Provide access and entry.
  • Receive, log, process, and distribute packages.
  • Coordinate and schedule maintenance contractors and vendors onsite.
  • Manage incoming and outgoing mail.
  • Issue pool passes.
  • Assist in drafting HOA violation notices and send out to homeowners
  • Schedule monthly board meeting and notify homeowners.
  • Assemble documents for monthly board meetings.
  • Code invoices for processing.
  • Other duties as requested.
