About The Position

The Front Desk Agent at Graduate New Haven is a part-time role focused on providing exceptional guest service and ensuring a welcoming atmosphere for all visitors. Requirements

  • High school diploma or GED.
  • Minimum of 1 year in Accounting or Night Auditor role.
  • Knowledge of PMS (Property Management System).
  • Ability to communicate effectively verbally and in writing.
  • Basic accounting/math skills.

Responsibilities

  • Greets guests as they arrive, focusing on personal recognition in a warm and authentic manner.
  • Reviews arrival list daily and assists in preparing, assembling and delivering welcome amenities.
  • Escorts VIPs to room and checks them in prior to arrival.
  • Answers the telephone within three rings and responds to questions or transfers calls as needed.
  • Responsible for issued bank and counts bank at the beginning and end of shift.
  • Ensures that all cash drops are done in accordance with proper cash handling procedures and reports all cash over/shorts to management.
  • Maintains front desk area to be clean and organized.
  • Monitors and promptly answers guest questions and requests through property management system SMS in accordance with brand standards.
  • Ensures each shift begins by reviewing resume binder and Front Office Announcements board.
  • Alerts management of low inventory items that need to be re-ordered.
  • Monitors and restocks grab and go and guest amenities.
  • Assists with lobby activation as needed.
  • Assists guests with concierge services and recommends local attractions and activities.
  • Offers luggage assistance and storage to guests.
  • Ensures all scheduled shifts that are switched are approved by a manager in advance.
  • Utilizes proper procedures when handling guest PPI data.
  • Resolves guest complaints in a professional and efficient manner.
  • Promotes Graduate Culture by exhibiting the 5 pillars of our mission.
  • Actively participates in brand-wide programs including upsell and email capture.
  • Responsible for assisting management with on-the-job training of new associates.
  • Retrieves necessary identification documents and form of payment upon guest arrival.
  • Completes shift checklist upon conclusion of every scheduled shift.
  • Audits the daily guest ledger and handles all end-of-day accounting functions.
  • Acts as front desk clerk, checking guests in and out, booking reservations and resolving guest issues.
  • Organizes the Front Desk area for the A.M. Front Desk staff.
  • Monitors hotel security camera system.
  • Ensures that lobby is well-maintained, properly lit and with music at proper volume.
