The Front Office Administrative Assistant is Riverside Recovery’s first encounter with our guests and requires an upbeat, positive personality who is customer service oriented. This position is responsible for providing a broad range of administrative and support tasks to various executives including but not limited to Executives, CEO, and Marketing. This position requires confidentiality, flexibility, ability to use good judgment, utilize available resources and work in a fast paced office environment. Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Able to work in a professional office setting and maintain confidentiality of clients, employees, visitors, and guests. Greet and check in visitors and guests in a friendly, pleasant, and courteous manner and notify appropriate department of guest arrivals. Responsible for checking staff, visitors, and guest in compliance with internal safety operations due to HIPAA and any ongoing compliance procedures. Ensures proper identification passes are supplied for visitors Answer and transfer all calls to the appropriate department. Managing incoming call routes in house Bi weekly Audits of phone call routing through testing. Maintain employee extension list and electronically distribute to staff. Maintain all areas of the lobby for cleanliness and neatness to include the waiting area and restroom. Make sure that the lobby area is stocked with brochures, business cards and beverages Receive, sort, and distribute mail to appropriate departments. Packages and mails all billing invoices provided by the billing department Scans all incoming mail insurance approvals and denials to the billing/UR team for review Assist Facilities with office supply and catering orders. Prepares correspondence, presentations, email communications and excel spreadsheets. Maintain the scheduling for the conference room, and schedule and coordinate meetings, travel, conferences, etc. for all department activities. Able to work with and communicate effectively with all staff and able to work independently and as a Team member. Respond to general inquiries as appropriate. Work closely with CEO/HR/Directors, Special Projects Team Member, and IT Department. All other administrative duties as assigned.
