About The Position

The Fraternal Administrative Assistant at Modern Woodmen of America plays a crucial role in providing administrative and clerical support to the Chief Fraternal Officer and the fraternal management staff. This position is integral to the operations of the Fraternal Department, which focuses on community engagement and support through various fraternal programs and benefits. The role requires a detail-oriented and organized individual who can manage multiple priorities while maintaining a high level of professionalism and discretion.

Requirements

  • Associate's degree required.
  • One to three years related experience.
  • Fully proficient in Microsoft Office, especially Excel and PowerPoint.
  • Experience working in a fast-paced environment balancing numerous priorities at once.
  • Ability to learn quickly and a desire to keep learning.
  • Willingness to embrace change and has a natural curiosity.
  • Like solving problems, helping people and find joy in making processes more efficient.

Responsibilities

  • Welcome guests and callers and act as a main point of contact for all things related to the Fraternal Department.
  • Help discover answers to questions and follow up on outstanding items as needed.
  • Prepare accurate reports, correspondence and other documents for Board of Directors and other key audiences.
  • Design and create visually appealing, high-impact presentations using PowerPoint and other design tools, ensuring materials are engaging, professional, and aligned with corporate standards.
  • Maintain and update internal web content, including The Connection, The Training and Resource site for fraternal leaders, and the website for Modern Woodmen of America and Impact Institutes.
  • Lead the administrative efforts related to fraternal award programs.
  • Be involved at every level and help double-check data.
  • Be a champion and key supporter of the value of fraternal, especially when maintaining relationships with elected officials, supporting state fraternal alliance needs, creating state fact sheets, and other matters related to governance.
  • Lead or assist with operations related to several fraternal member benefits/programs - including the Newborn Life Insurance Benefit, Orphan Support Benefit, and Financial Relief Fund related to natural disasters.
  • Assist with department budgeting and inventory.
  • Prepare sections of the annual budget, review monthly expenditures and provide explanations for variances.
  • Prepare and track purchase orders.
  • Have a significant role in research projects; development of survey forms; capturing, saving and sharing data.
  • Present findings in a clear and visually compelling manner, demonstrating strong data literacy and proficiency in data visualization tools.
  • Manage office filing and inventory systems, including the department's record retention document and internal control reports.
  • Process and/or assist with processing of travel expenses and related transactions for members of the Fraternal Department.
  • Assist with natural disaster response communication to members about Financial Relief Fund.
