About The Position

The Manager, Campaigns provides project management and operational coordination in support of the Hoag Hospital Foundation’s (HHF) philanthropic campaigns, including the upcoming comprehensive campaign. Reporting to the Executive Director of Campaigns (ED), this role will organize, track, and execute campaign ‑ related projects and activities to ensure work moves forward smoothly, on schedule, and in alignment with the strategies established by HHF and campaign leadership. This position is responsible for managing project timelines, coordinating cross ‑ departmental workflows, preparing materials, supporting donor and volunteer engagement, ensuring timely and accurate documentation and reporting. The Program Manager plays a key role in keeping campaign operations organized and efficient in alignment with established strategies and goals.

Requirements

  • Bachelor’s Degree or equivalent experience.
  • Minimum five years of experience in project management, administrative coordination, fundraising support, or a related role, preferably in higher education or healthcare.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).
  • Experience with Salesforce or equivalent CRM/database required.

Nice To Haves

  • Experience with Canva preferred.
  • Experience in nonprofit or campaign environments highly desirable.

Responsibilities

  • Support campaign planning and implementation by maintaining timelines, workplans, and trackers.
  • Manage logistics for campaign planning meetings, including meetings with hospital and clinical leaders to identify fundraising priorities and opportunities.
  • In concert with the ED, partner with Development and Prospect Management & Research teams to create and maintain lists of potential top campaign donors, volunteer leaders, and collaborators.
  • Coordinate cross ‑ functional workflows, ensuring colleagues across HHF are aware of deadlines and deliverables.
  • Prepare materials, such as PowerPoint presentations, talking points, agendas, briefing notes, and status reports, for a variety of campaign-related activities.
  • Coordinate with Development, Donor Relations, Events, and Stewardship teams on campaign-related donor events and activities, tracking post-event outcomes and facilitating appropriate follow-up.
  • Update and maintain campaign information in a timely and accurate manner.
  • Partner with Advancement Services to ensure accuracy and consistency in reporting.
  • Track progress against key campaign milestones, flagging issues or potential delays for the Executive Director of Campaigns.
  • Assist in documenting campaign processes and updating standard operating procedures.
  • Serve as a liaison to any external campaign consultants, particularly to coordinate communications with appropriate HHF teams and partners.
  • Complete other project ‑ related duties as assigned.
