The Flight Operations Assistant provides high‑level administrative, organizational, and operational support to the Aviation Leadership Team and reports to the Senior Director of Aviation. This role ensures seamless execution of daily operations through expert administrative support and operations and logistics coordination. Success in this position requires strong attention to detail, exceptional communication, proactive problem‑solving, and the ability to manage multiple priorities in a dynamic aviation environment. Requirements

  • A Bachelor’s degree is required. Degrees in Aviation or Business Administration are preferred.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Strong verbal and written communication skills with excellent interpersonal and collaborative abilities.
  • High attention to detail and commitment to accuracy.
  • Ability to handle sensitive information with discretion and integrity.

Nice To Haves

  • 0-2 years of experience in an administrative support role, preferably within a corporate or aviation environment.
  • 0-2 years of experience supporting senior leaders or operational teams.
  • Prior exposure to aviation, transportation logistics, or high‑security corporate environments.

Responsibilities

  • Administrative Support for the Leadership Team: Manage calendars, schedule meetings, and resolve scheduling conflicts with a high degree of accuracy. Prepare polished presentations, create flight operations reports as requested, and manage correspondence. Coordinate travel arrangements, including flights, accommodation, and ground transportation. Manage expense report submissions and reimbursements, ensuring compliance with company policies and timely processing. Maintain confidentiality and exercise sound judgment in handling sensitive information. Serve as a liaison to Executive Assistants, Procurement, Finance, IT, and other cross‑functional partners. Assist with project coordination to improve operational efficiency and support department initiatives. Support new‑hire onboarding activities. Assist with shipping and receiving functions (FedEx & UPS).
  • Meeting & Data Management: Create PowerPoint presentations, meeting materials, and debrief summaries with clear action items. Organize meetings, conferences, and onsite events, ensuring material preparation and full logistical readiness. Coordinate with J&J IT to support high‑visibility events requiring technical setup. Maintain organized records and manage documentation and file structure.
  • Visitor & Concierge Services: When on site, serve as the primary point of contact for guests visiting the Corporate Flight Department, ensuring a welcoming and professional customer experience. Assist with greeting passengers, manage baggage handling coordination, and arrange ground transportation as needed. Oversee scheduling of training rooms and conference spaces. Arrange catering for department meetings, training, and special events.
  • Dispatch Support: Manage executive personal aircraft‑usage reporting for Finance. Manage and maintain accurate records of crew documentation, travel documents and aircraft records. Coordinate trip‑related crew ground transportation. Manage trip-related receipt collection and documentation.
