The Fleet & Facility Services Department is seeking a Fleet Reporting Admin to work with 1,000+ locations on Fleet compliance and management reporting, within the United States and Canada. Under the direction of the Fleet Supervisor, this position will assist with Federal, regulatory, state and international regulations, with the ability to manage reporting and overall oversight. In addition, work with fleet managers to ensure proper requirements are being met and completed.

Requirements

  • Strong computer skills, proficient in MS Office, Smartsheet

Responsibilities

  • Understand, prepare, review and file accurate fuel tax filings. May include CARB, IFTA, State Mandated fuel tax requirements, ESG reporting and others as assigned
  • Manage multiple reports to ensure State, Federal and International reporting is done timely, to maintain good standing
  • Ensure accuracy of documents for submission
  • Work with state, federal and International authorities to maintain compliance
  • Work with dedicated vendors for resolution and improvements in reporting
  • Support internal and external audits
  • Assist with reconciling fuel tax accounts and identify discrepancies and adjustments needed
  • Collect and ensure accurate records for Fleet Reporting
  • Work in partnership with other cross-functional teams to gather necessary data for accurate reporting
  • File additional Fleet Reports, as necessary, to fulfill regulatory requirements
  • Answer phone calls and assist with problem resolution
  • Research local, state, federal & International regulations
  • Assist with the development to update reporting process
  • Attend required meetings that may require the preparation and dissemination of both public and confidential informational reports and presentations
  • Other duties as assigned
