About The Position

The Fleet Office Assistant will perform various clerical duties to support the organization, with a primary focus on accurately taking and processing customer orders. This role requires strong organizational skills, attention to detail, and exceptional customer service and communication abilities.

Requirements

  • Excellent customer service and communication skills (verbal and written).
  • Excellent phone etiquette.
  • Ability to type at least 45 words per minute.
  • Strong interpersonal skills and ability to build positive relationships with customers and team members.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • High school diploma or equivalent required.
  • U.S. citizen or permanent resident.

Nice To Haves

  • Proficiency in Spanish highly desirable.
  • Dispatching experience highly desirable.
  • Clerical or order-processing experience preferred.

Responsibilities

  • Take and process customer orders accurately and efficiently (primary responsibility).
  • Communicate with customers to confirm order details and provide assistance as needed.
  • Perform routine clerical duties including typing, filing, and completion of simple forms.
  • Operate office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
  • Serve as the receptionist for the office, greeting customers, employees, and applicants.
  • Communicate driver route information and daily schedule to drivers.
  • Answer phones, direct calls to appropriate individuals, and prepare messages.
  • Copy, sort, and file records related to office activities, business transactions, and other matters.
  • Prepare letters, memos, forms, and reports according to written or verbal instructions.
  • Sort incoming mail and deliver to appropriate department or individual.
  • Process outgoing mail.
  • Maintain filing systems either manually or electronically.
  • Manage calendars and schedule appointments.
  • Perform other related duties as assigned.
