The Fleet Maintenance Coordinator is responsible for coordinating and administrating all maintenance activities for our trucks and rolling stock. The Service Writer will serve as the key liaison between the Fleet Manager, mechanics, and external service vendors to ensure that all repairs and maintenance of equipment are performed in compliance with the Company’s safety standards and applicable federal and state regulations. This is a full-time, on-site role in a fast-paced environment, involving both office and shop coordination work. The position reports directly to the Fleet Manager.

  • Maintenance Scheduling & Coordination – coordinate preventative and corrective maintenance schedules to minimize downtime
  • Work Order Management – initiate, track, and close out repair and service work orders with detailed record-keeping
  • Parts and Inventory Procurement
  • Vendor Management, including reviewing and negotiating pricing, billing, and terms without compromising quality.
  • Communicating & Customer Service - providing excellent customer service to fleet stakeholders.
  • Data Entry & Reporting – maintaining accurate digital records and generate fleet performance and cost reports as needed
  • High School Diploma or equivalent
  • 5+ years combined experience in Hands-On Vehicle/Equipment Maintenance and Service Desk/Maintenance Coordinator (or similar roles) is required
  • Strong understanding of CDLA truck mechanics and maintenance practices. Familiarity with heavy-duty diesel trucks and equipment used in scrap yards (such as roll-off container systems, cable hoist mechanisms, hydraulic systems, etc.)
  • Knowledge of preventative maintenance standards and DOT regulations for commercial fleets (inspection intervals, record-keeping requirements)
  • Organizational & Analytical skills to manage numerous work orders simultaneously, paying close attention to the details and maintaining accurate records
  • Ability to interpret maintenance data and identify trends or irregularities
  • Proficient with computers and maintenance software or databases for data entry and record keeping
  • Strong communication and customer service skills, both written and verbal. Must be able to communicate effectively with mechanics, drivers, managers, and vendors.
  • Reliable Attendance
  • ASE Truck Certified is a plus
  • State certifications in steering, brakes, and suspension is a plus
