About The Position

Position Summary The Fleet Coordinator supports the day-to-day administration and coordination of the company’s vehicle and equipment fleet. This role is responsible for maintaining accurate fleet data, coordinating maintenance and compliance activities, and serving as a key user of Tenna fleet management software. The Fleet Coordinator works closely with operations, safety, vendors, and field teams to ensure fleet readiness, data integrity, and operational efficiency.

Requirements

2+ years of experience in fleet coordination, asset management, or operations support.
Experience using Tenna fleet management software or similar systems (preferred)
Strong organizational, data entry, and documentation skills.
Proficiency in Microsoft Excel and reporting tools.
Strong attention to detail and data accuracy
Effective communication and customer service skills
Ability to prioritize and manage multiple tasks
Comfort working with fleet technology and systems
Team-oriented with a service mindset

Responsibilities

Coordinate daily fleet activities including vehicle and equipment assignments, transfers, and status tracking.
Maintain accurate and up-to-date fleet records for all vehicles and equipment.
Serve as a primary point of contact for fleet-related requests from operations personnel.
Maintain and update all fleet assets within Tenna fleet management software.
Enter and validate asset data including locations, utilization, maintenance, inspections, and compliance documents.
Monitor Tenna dashboards, alerts, and workflows to ensure timely maintenance and renewals.
Generate fleet reports supporting utilization, maintenance, compliance, and cost tracking.
Track inspections, registrations, permits, and safety documentation.
Support fleet audits, reconciliations, and special projects as assigned.
