About The Position

We are looking for a detail-oriented and organized Fleet Clerk to join our fast-paced team. This role is essential to maintaining the quality and safety of our rental fleet by managing the end-to-end glass claims process and supporting daily fleet operations. You will be the primary point of contact for glass-related damages, ensuring repairs are completed efficiently to keep our vehicles ready for customers. Requirements

  • Valid Driver’s License with a clean driving record.
  • Strong attention to detail, particularly in identifying vehicle damage and managing paperwork.
  • Proficiency with Microsoft Office (Word, Excel) and the ability to quickly learn proprietary claims software.
  • Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
  • Willingness to work outdoors on occasion to inspect or move vehicles.
  • High School Diploma or GED; prior experience in auto claims or rental operations is a plus.

Responsibilities

  • Initiate and set up claims for vehicle glass damage in the internal system.
  • Coordinate with vendors for windshield replacements and rock chip repairs.
  • Conduct vehicle inspections to identify new glass damage and document findings.
  • Take clear, high-quality photos of damages and upload them to the claims system.
  • Manage and upload all necessary repair documents, invoices, and claim forms.
  • Assist with infleeting (bringing new cars into service) and outfleeting (removing cars from service) as needed.
  • Coordinate the movement of vehicles between locations and maintain accurate records of car movements.
  • Process invoices and maintain precise records for car registrations, license plates, and keys.
  • Communicate professionally and effectively via email and phone with internal teams and external vendors
  • General clerical support to ensure smooth daily operations within the fleet department.
  • Ability to move throughout the location and drive a variety of vehicles as needed.
  • Capable of sitting, typing, and using a computer for extended periods for administrative tasks.
