The Fitness Program Coordinator assists the Director of Fitness, Spa and FRC with supervising the Group Exercise programs, Educational & Health programs, special events and fitness staff as they relate to instructional fitness programming at the Polo Club. Participates in all program development, relating to customer service, safety, marketing, scheduling, equipment, and facility. When not performing administrative duties, the Fitness Program Coordinator will be instructing Group Exercise/Personal Training classes.

  • Develops and promotes effective, professional and first class health and fitness programs.
  • Understands, and consistently enforces all policies, rules/regulations of the Health & Fitness Department.
  • Understands, and consistently enforces all policies, rules/regulations of the Polo Club Employee & Member Handbooks.
  • Assists the Director of Fitness, Spa and FRC with recruitment, interviews, hiring and training of fitness instructional staff both employee and outside contractor.
  • Instructs no more than 5 hours of Group Exercise per week year-round.
  • Performs between 15-25 hours of Pilates/Personal Training per week, year-round.
  • Performs a minimum of 10 hours of administrative assistance to the Director of Fitness, Spa and FRC per week, year-round.
  • Assists members in setting realistic, obtainable fitness goals and objectives.
  • Communicates with Independent Contractors, their substitutes’, and any club guests for security access into the Polo Club when necessary, greets individuals and ensures programs run efficiently and meet departmental standards.
  • Appropriates instructors or teaches for instructors in an emergency situation as needed.
  • Creates and posts any communication about Group Exercise and fitness programs in a timely manner around and in specific areas of Spa building & pool.
  • Ensures member sign in sheets and program statistics are kept daily, and organized on the computer for reference and reports.
  • Organizes system for maintaining current certifications, and assists Director of Fitness, Spa and FRC with announcements of certification opportunities to keep staff current, collects documentation of CEU’s and reports to Human Resources.
  • Supports the Director of Fitness, Spa and FRC in completing and processing payroll for Independent contractors & Staff Group Exercise Classes, weekly. Ensures Independent contractors submit invoices for payment of services.
  • Organizes year-round program schedule, produces monthly promotional flyers, Trends, Website, Buzz announcements, and checks master club calendar and updates in handbooks, operations manuals and spa brochures.
  • Coordinates and reviews monthly Group Exercise & Fitness program schedules for quality, diversity and member participation.
  • Supports departmental efforts to market monthly promotions, programs and customer service that encourage participation, and sales.
  • Assists Director of Fitness, Spa and FRC with the departmental goals, and budget management specifically to Group Exercise programs, communication, and training practices.
  • Supervises program space and instructional tools for safety and maintenance daily.
  • Purchases all instructional equipment and materials at the direction of the Director of Fitness, Spa and FRC.
  • Contributes information about programs to the Spa Committee report.
  • Represents the Fitness department at Polo Club meeting, drill, training session, community event/activity promoting fitness/wellness in the utmost professional manner as requested by the Director of Fitness, Spa and FRC.
  • Assists in staff meetings to include communication on all policies/procedures, general sales practices, member relations and consultation skills, goal setting, program information, equipment usage, motivation and increasing revenues/sales & continuing education for all staff.
  • Generates timely communication to members, staff, vendors, and general public in a professional and courteous manner.
  • Conforms with and abides by all regulations, policies, work procedures and instructions.
  • Performs other duties as assigned by the Director of Fitness, Spa and FRC.
  • Must be in excellent physical condition.
  • Demonstrates professionalism on the job proactively.

  • Knowledge of Word Processing software; Spreadsheet software; Payroll systems and Internet software.
  • First Aid, CPR and AED certification.
  • Hold one general nationally recognized Group Exercise Leader certification and any specific certification for all classes taught.
  • Associate's degree (A.A.) or equivalent from two-year College or technical school; and to one year or more of related experience and/or training; or equivalent combination of education and experience.
