About The Position

The Fitness Coordinator is responsible for the oversight, development, and administration of Group Fitness and Personal Training programs. This position supervises fitness instructors and personal trainers, manages scheduling and program performance, and ensures high-quality service delivery to members and guests. The Fitness Coordinator assists in the planning and execution of special fitness events and races throughout the year and supports overall Fitness Department operations. The role works collaboratively with the Fitness Operations Manager to evaluate participation trends, enhance programming, and promote a safe, engaging, and customer-focused fitness environment.

Requirements

  • Must be at least 21 years of age and possess a high school diploma or equivalent; Associate’s or Bachelor’s degree in Exercise Science, Kinesiology, Recreation, Sports Management, or a related field preferred.
  • Must possess a current nationally recognized Group Fitness Certification (e.g., ACE, AFAA, NASM, ACSM) or obtain such certification within six (6) months of hire.
  • Minimum of one (1)–two (2) years of experience in group fitness instruction, fitness programming, or recreation programming preferred.
  • Prior experience supervising instructors, contractors, or staff preferred.
  • CPR/AED/First Aid certification required or ability to obtain within 90 days of hire.
  • Strong written and verbal communication skills with the ability to effectively interact with members, staff, instructors, and the public.
  • Proficiency in recreation management software and basic computer applications (Microsoft Office, email systems); experience with fitness/member management software (e.g., Virtuagym) preferred.
  • Capable of lifting and/or moving up to 50 pounds with assistance and performing tasks that may require bending, standing, and moving fitness equipment.

Responsibilities

  • Assume responsibility for the Fitness Department in the absence of the Fitness Operations Manager, ensuring continuity of operations, supervision, and service delivery.
  • Serve as the primary administrator and point of contact for the member fitness application (e.g., Virtuagym), acting as liaison between members, instructors, and software support.
  • Monitor participation data, evaluate class capacities, and recommend schedule adjustments based on trends and member feedback.
  • Develop and maintain positive, professional relationships with members, guests, instructors, and staff to ensure a welcoming and customer-focused fitness environment.
  • Assist in the coordination and execution of Park District race events, including but not limited to Frigid 5K and Quarryman Challenge, as well as other designated special events.
  • Schedule, assign, supervise, and evaluate group fitness instructors to ensure quality programming and adherence to District standards.
  • Maintain accurate records of instructor certifications, continuing education, Certificates of Insurance (COIs), contracts, and required agreements to ensure compliance with District policies and risk management standards.
  • Assist in the recruitment, onboarding, and training of new fitness instructors, including collecting required documentation and facilitating in-service trainings.
  • Coordinate and participate in instructor meetings and professional development sessions (minimum three annually) in collaboration with the Fitness Operations Manager.
  • Maintain and analyze monthly Group Fitness participation tracking logs and prepare quarterly fitness schedules.
  • Compile and submit required reports and performance metrics to the Fitness Operations Manager.
  • Prepare and submit monthly instructor invoices for review and approval in accordance with established financial procedures.
  • Research current fitness trends, industry best practices, and community interests.
  • Conduct seasonal program evaluations and recommend enhancements, modifications, or new program offerings to improve participation and member satisfaction.
  • Coordinate, plan, and execute quarterly fitness special events, workshops, and promotional programs to enhance member engagement and revenue generation.
  • Perform other duties as assigned
