About The Position

The Fiscal Administrative Support Coordinator is responsible for managing childcare subsidy processes to ensure families and programs maximize available resources for extended day services. This role oversees the accurate tracking of DES childcare subsidies, First Things First scholarships, and other funding streams, ensuring compliance with all Head Start & Early Head Start requirements. The position serves as a key point of communication with program staff and funders, supporting subsidy eligibility, fiscal accuracy, and overall accountability.

Requirements

  • Associate's degree in Accounting, Business Administration, or related field required
  • Minimum of 2 years of experience in fiscal, subsidy, or administrative support, preferably in early childhood or social services.
  • Knowledge of childcare subsidy systems (DES, First Things First) and related compliance requirements.
  • Strong organizational skills with the ability to manage data, run reports, and meet strict deadlines.
  • Clear and professional written and verbal communication skills, including correspondence with funding agencies.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with financial software preferred.
  • Demonstrated initiative to identify and resolve discrepancies while upholding accountability and compliance standards.
  • Valid Arizona Fingerprint Clearance Card - OR - must qualify for a valid Arizona Level One Fingerprint Clearance Card
  • DES Criminal Affidavit Required
  • AZ DHS Criminal History Affidavit Required
  • FPC DPS Verification Required

Responsibilities

  • Manage and track DES childcare subsidy processing, First Things First scholarships, and other childcare subsidy funding streams.
  • Run reports to monitor quotas and ensure timely submission of subsidy documentation.
  • Provide timely updates on facility changes that impact DES licensure.
  • Notify Family Services Managers of subsidy expirations at least 60 days in advance.
  • Partner with the Family Services Assistant Director to identify children eligible for enrollment with subsidy support.
  • Communicate directly with funding agencies, as needed, to ensure accurate processing and compliance.
  • Reconcile credit card transactions and verify documentation for compliance.
  • Maintain organized fiscal records and collaborate with the finance team to support timely and accurate reporting.
  • Provide administrative and logistical support for organizational events, including Policy Council, Pre-Service, and Professional Development activities.
  • Prepares for and participates in regular, reflective supervision with direct supervisor and proactively seeks guidance and support.
  • Adheres to the Southwest Human Development Mission, Vision, Core Values and policies.
  • Provides services that are family-centered and relationship-based.
