Requirements

  • Proficient in Microsoft Windows, Word, EXCEL, Power Point.
  • Knowledge of ACE, OASys, Job Cost Systems.
  • Valid driver's license with a good driving record.
  • High School diploma or equivalent.
  • Ability to multi-task and prioritize among assignments with a strong adherence to deadlines.
  • Excellent verbal and written communication skills.
  • Must be organized, detail-oriented, and self-motivating.
  • Must pass a pre-employment background check and drug screen.
  • Positive attitude a must.
  • Punctual and accountable.

Nice To Haves

  • Associates Degree preferred.
  • 3 to 5 years of related experience.
  • Experience in a high-volume, customer service-oriented position.
  • Electrical/Construction industry experience is helpful.

Responsibilities

  • Assist the Construction Managers and Project Managers with coordination/documentation.
  • Order equipment for Install base projects including day-to-day general office duties.
  • Upload and maintain projects and contracts via Job Design/BBI.
  • Monitor status of small projects (fire alarm, suppression, sprinkler).
  • Communicate with customers and sales reps regarding material and/or labor requirements.
  • Ensure that required engineering is performed to meet customer expectations.
  • Coordinate with TIS supervisor and/or construction manager on customer’s labor requirements.
  • Order equipment and ensure that customer receives material when needed.
  • Report to department managers on project status.
  • Process change orders, release equipment, file documents, and manage Certificate of Insurance and Warranty Letters.
  • Compile billing backups such as Certified Payroll and work tickets.
  • Handle customer/contract disputes as needed.
  • Coordinate delivery of equipment to the job site.
  • Coordinate delivery of close-out documents.
  • Create purchase orders for subcontractors.
  • Procure and verify project schedules.
  • Attend work in progress meetings.
  • Track project RFI’s, change orders, and other pertinent documentation.
  • Coordinate/follow up with Sales Team regarding project bookings.
  • Assist with Accounts Receivable (AR).
  • Act as the facilitator and point-person for information sharing between OTC, District, and select customers.
  • Support dispute resolution in resolving disputes when requested by the AR Collectors or the Dispute team.
  • Contact customers when identified as necessary.
