Role description: Arcadis is seeking a Project Administrator in our Houston, TX office to support a major key account with project administration/financial project assistance for multiple project managers. The successful candidate must be interested in learning from Project Managers, must be well organized and professional, able to interface/communicate with internal team members on tasks and projects, able to meet multiple and simultaneous deadlines, and able to work both on teams and independently. Within the role, the successful candidate will also be asked to mentor junior staff. This position provides a wide variety of administrative, financial and staff support services at a team level. The position performs multiple related tasks and applies administrative procedures to resolve problems which may be non-routine in nature. Role accountabilities: The role involves supporting multiple project managers and teams with financial management, contract and subcontract administration. Key responsibilities include assisting with project setup in Oracle, monitoring budgets, evaluating project performance, and forecasting. You will track and resolve financial issues, manage invoicing, monitor accounts receivable and unbilled items, and follow up as needed with accounting and project managers. Additional duties include providing financial support during audits and reviews, preparing and communicating purchase orders and subcontracts, monitoring insurance requirements, and handling work orders. The position also covers new client and vendor setups, along with other administrative tasks as required. You will be responsible for training, mentoring, and supporting the professional development of junior staff, collaborating closely with internal operations managers and the finance team. Furthermore, you may deliver or assist in managing small- to medium-sized projects or programs, ensuring the efficient use of resources to meet project deadlines and deliverables.

Requirements

  • Minimum years of experience: 4 years’ relevant experience, including management of small-sized projects
  • Education required: High School diploma with equivalent work experience in finance or accounting
  • Strong computer skills including a high level of competence with Excel, Outlook, and Word.
  • Strong written and verbal communication skills with a variety of audiences both internal and external.
  • Strong proof reading and basic research skills.

  • The salary range for this position is $53,000-85,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
