About The Position

The Financial Counselor assists clients and families regarding the financial aspects of their treatment journey, offering support and guidance through what can often be a stressful process. This remote role demands self-motivation and exceptional prioritization. The ideal candidate demonstrates accountability, multitasking ability, strong attention to detail, and negotiation skills. This pivotal position also involves direct interaction with insurance providers to verify patient eligibility and coverage, ensuring the accuracy and efficiency of billing procedures.

Requirements

  • Associate degree or higher preferred; consideration given to candidates with a High School Diploma and relevant work experience.
  • 2+ years of related work experience in healthcare admissions, finance, insurance, customer service, claims, billing or collections, or call center roles.
  • Excellent customer service and communication skills (verbal and written). Comfortable delivering information and answering questions on camera as well as phone.
  • Driven by meeting and exceeding Key Performance Indicators (KPIs).
  • Ability to manage multiple software applications simultaneously while communicating via phone or chat.
  • Understanding of basic security protocols for protecting sensitive customer information.
  • Familiarity with software applications like Microsoft Office Suite, Outlook, Gmail, or Slack.
  • Basic troubleshooting skills for minor technical issues.
  • Flexibility to adapt to changing priorities, technology, and business needs.
  • Ability to remain calm and effective in emergencies.
  • Knowledge of medical billing practices, office policies, and procedures.
  • Understanding of confidentiality requirements regarding patient information.
  • Strong mathematics, organizational, and attention-to-detail skills.
  • Ability to sit for long periods of time (8-10 hours)
  • Ability to reach above and below the waist, turn, twist and to manipulate small tools (copier, computer, telephone, typewriter, calculator, safe, facsimile machine).
  • Ability to see well enough to read handwritten and typewritten material.
  • Ability to handle a variety of repetitive tasks at a moderate level.
  • Available to work varied hours (i.e., evenings/weekends) as required.
  • Ability to handle multiple projects and tasks under deadlines and with short notice.

Nice To Haves

  • Experience with call center software systems such as Salesforce, EMRs/EHRs is advantageous.
  • Familiarity with outpatient mental health settings and services preferred.
  • Basic understanding of behavioral health terminology.

Responsibilities

  • Assist potential patients and their responsible parties through the financial aspects of the intake process via phone, video calls, or written communication.
  • Promptly and professionally respond to inquiries through various communication channels.
  • Schedule appointments for new patients
  • Conduct sensitive conversations with empathy and professionalism.
  • Address customer concerns and obstacles to ensure resolution and satisfaction
  • Analyze and interpret insurance coverage information online and/or via phone to accurately determine patient eligibility and benefits.
  • Compile cost estimates for potential clients based on policy benefits and contracted rates.
  • Negotiate payment plans prior to or upon admission in accordance with the organization’s financial agreement guidelines.
  • Prioritize the patient journey to best anticipate next steps and be able to act with sense of urgency
  • Provide excellent communication and documentation to patient and/or patient’s representatives, as well as internal departments and stakeholders to ensure seamless admission process.
  • Conduct outbound calls and follow-ups to ensure timely referral processing.
  • Collaborate with other organizational members to resolve discrepancies or disputes regarding patient billing information
  • Act as a liaison between multiple departments, including Utilization Review, Admissions, Facilities, and Billing.
  • Adhere to all federal and state healthcare regulations.
  • Employees approximately 55 miles of a physical CWG office locations may need to attend initial onboarding, training, or meetings onsite. Such requirements usually occur no more than once a month.
