About The Position

The Financial Administrative Coordinator at the Wharton Marketing Department of the University of Pennsylvania is responsible for executing and administering financial processes that support the department's teaching, research, and educational mission. This role involves direct interaction with faculty, staff, and students, managing payroll, purchasing, expense reconciliation, and maintaining financial records. The coordinator will also assist in budget preparation and compliance with financial policies.

Requirements

  • High school diploma with 5-7 years of experience, or an Associate's Degree with 3-5 years of experience, or equivalent combination of education and experience.
  • Prior experience in a comparable role at Penn is significant.
  • Experience in a university setting is helpful but not required.
  • Excellent organizational skills and attention to detail.
  • Effective communication skills to interact with a diverse group of colleagues.

Responsibilities

  • Interface with faculty, staff, and students to manage financial processes.
  • Hire and onboard personnel using adopted systems.
  • Process payroll and manage faculty research accounts.
  • Purchase goods and services on behalf of the department.
  • Make deposits and generate payments.
  • Review and reconcile expenses against the operating budget monthly.
  • Process travel and expense reimbursements.
  • Maintain excellent records for all funding and related expenses.
  • Assist with preparation of ongoing reports to Wharton F&A and periodic projections.
  • Provide input to annual budgets, financial closing exercises, and audit reviews.
