The Finance Manager is responsible for oversight of finance and compliance in NP US. The Finance Manager works closely with the Head of Mission, and is responsible for financial and accounting management; financial reporting, accounting, funds management, preparing donor finance reports, contributing to fraud control procedures, payroll, and related administrative tasks. The Finance Manager ensures compliance with donor and governmental regulations as well as Nonviolent Peaceforce’s internal policies and procedures. In their role the Finance Manager also provides timely and accurate accounts and reports to the Resource Mobilization and Communications Team. Although the Finance Manager reports to the Head of Mission, they have a technical reporting line to the NP Group Director Finance and Operations.

  • NPUS Financial Management:
  • Ensure effective, transparent use of financial resources in compliance with the organization’s policies and procedures, funder requirements, and GAAP.
  • Provide guidance and training to NPUS staff on financial policies and procedures as necessary.
  • Maintain NP’s financial accounts in Quickbooks Online and ensure the timely keeping of financial information and maintaining all financial records.
  • Prepare accurate and timely financial reports and activity statements for staff, donors and other stakeholders.
  • Coordinate with the Head of Mission to ensure compliant procurement policies and practices.
  • Provide financial inputs for grants budget development and donor reports.
  • Review, monitor and manage cashflow and accounts.
  • Ensure close liaison with NP headquarters and ensure timely submission of monthly, quarterly, and annual reports.
  • Flag issues of concern in a timely manner to the Head of Mission.
  • Liaises closely with the Director of Organizational Advancement related to financial management and accounting for Resource Mobilization and Communications.
  • Lead and coordinate the annual budget process for NPUS.
  • Coordinate audits, including contracting auditors, preparing financial and compliance documents for audits, and ensuring that all audit requirements are met.
  • Support the Global Finance team in reviewing the implementation and compliance of the monthly checklist
  • Prepare and process deposits for weekly bank deposits.
  • Process accounts payable.
  • Ensure efficient operations of the NPUS office including supply and vendor relationships.
  • Monthly closure & Financial Reporting
  • Liaise with Head of Mission for monthly review of budget versus actual (BVA) report.
  • Close the accounts for the month ensuring that all vouchers and expenses are posted by the end of the month
  • Ensure monthly closing of accounts and associated reports.
  • Prepare month end reports, including BvA reports and those included in NP’s internal control processes.
  • In liaison with program staff ensure accurate and timely reporting on budget vs. actuals reports to HQ, including variance analysis.
  • Ensure that the transit accounts are cleared and reconciled on a monthly basis.
  • Prepare and review monthly reconciliation.
  • Complete monthly bank, and credit card reconciliations.
  • Payroll Management
  • Process semi-monthly payroll.
  • Ensure that deductions and contributions are calculated and accounted for correctly.
  • Ensure payroll processor receives applicable tax notices.
  • In liaison with Head of Mission ensure correct cost allocation of payroll.
  • Budgeting and forecasting
  • Produce and analyze Budget vs. Actual reports. Review, analyze and monitor Budget vs. Actual income and expenditure.
  • Support the Program team in the preparation and monitoring of program/project budgets.
  • Work with Head of Mission to coordinate the annual program budgeting process.
  • Liaise closely with relevant staff for monthly review and adjustment of Country Program as well as individual project forecasts.
  • Other
  • Ensure internal controls are implemented throughout the country program with a specific focus on ensuring thorough fraud prevention processes and oversight.
  • Ensure due diligence, oversight and compliance with donor reporting requirements.
  • Coordinate and prepare for grant audits.
  • Process and manage bi-monthly ACH donations.
  • Setup and process monthly rent income and ensure timely collection.
  • Additional finance related duties as identified.
  • Minimum of five (5) years’ work experience in finance and grants management within a nongovernmental organization.
  • Minimum qualification is a Bachelor’s degree in Accounting, Finance or equivalent.
  • Experience developing financial policies and procedures to ensure compliance.
  • Experience in setting up and managing administration and finance management systems.
  • Understanding of budgeting, grants management, reporting and audit processes.
  • Commitment to the work of Nonviolent Peaceforce.
  • Experience working in multi-cultural environment.
  • Experience in MS Office, especially in Excel.
  • Experience in QuickBooks or similar accounting software required.
  • Demonstrated skills and experience in Donor Compliance and Financial Reporting.
  • Proficiency in English, both written and oral.
  • Strong communication skills.

  • Excellent time management and ability to deal with competing demands.
