The Kindred Finance & Accounting Manager is an integral part of the overall day-to-day financial and accounting oversight for 3rd party owned hotels operated by Vail Resorts via Hotel Management Agreements. The position reports to the property Director of Finance and works in concert with each hotel operational team and centralized accounting/finance to ensure a timely and accurate close of 3rd party books, while providing financial insight to the property Director of Finance.This job requires the ability to meet deadlines, keen attention to detail, act as an agent of change for process improvements, enthusiastic team player with a can-do attitude, and a strong work ethic.

  • Assist the Director of Finance in managing the pre-opening budget for both the resort and HOA components
  • Track all pre-opening expenditures, including those related to common area build-out and shared services
  • Prepare separate cash flow forecasts for operational and HOA activities
  • Coordinate with developers and ownership on capital funding and HOA initial operating assessments
  • Assist in the creation of dual chart of accounts: one for the hotel operations, another for the HOA
  • Set up accounting systems (Peoplesoft, Planful, Avant) to manage HOA dues, expenses, and allocations
  • Implement internal controls and financial workflows that distinguish between resort and HOA finances
  • Define accounting treatment for shared services (e.g., valet, landscaping, maintenance)
  • Onboard vendors for both hotel and HOA services, ensuring HOA-specific contracts are set up separately
  • Establish dual approval workflows for HOA vs hotel procurement
  • Maintain HOA budget and contract compliance for vendor services
  • Work with Vail Treasury to open dedicated bank accounts for HOA funds, separate from resort operational accounts
  • Help set up HOA assessment collection systems
  • Develop cash handling and reconciliation policies for both HOA and resort functions
  • Prepare procedures for allocating shared costs between hotel and HOA based on square footage or usage ratios
  • Define labor cost allocation methodology between the hotel and HOA where applicable
  • Verify HOA payroll reporting complies with state and federal regulations for residential associations
  • Draft and implement financial SOPs for both hotel and HOA operations
  • Define controls for:
  • Reserve fund management (HOA)
  • Dues assessment and delinquency tracking
  • Capital replacement budgeting and funding
  • Implement billing and accounting systems for owner assessments, late fees, and special levies
  • Coordinate with the Property Management team to prepare owner financial statements
  • Establish reporting processes for HOA board meetings (e.g., income statement, budget variance reports, reserve balances)
  • Define processes for owner communications regarding fees, budgets, and financial policies
  • Manage the monthly accounting close process, working with stakeholders across the organization, including property-level and HOA-specific accounting functions
  • Oversee HOA accounting management, including tracking dues, preparing financial reports for HOA boards, managing reserve funding, and ensuring compliance with HOA-specific financial policies
  • Communicate with hospitality field operators and HOA board representatives on a regular basis to gather information and provide insight on financial results, HOA budgets, and market trends
  • Prepare and review month-end closing journal entries, including those related to HOA operations
  • Complete monthly balance sheet reconciliations, ensuring accuracy for both hotel and HOA accounts
  • Manage two employees who support centralized billing, revenue audit, and HOA financial administration
  • Assist with producing monthly financial packages for 3rd party hotel owners and HOA boards
  • Prepare and file monthly sales tax returns, including appropriate filings for HOA-related revenue where applicable
  • Establish and maintain strong working relationships with stakeholders across the organization, including hotel operators, owners, and HOA boards
  • Serve as a liaison with 3rd party owners, HOA boards, and Vail Resorts' shared service center for ad hoc requests and issue resolution
  • Gain and maintain working knowledge of multiple hotel Property Management Systems (PMS) to support billing, audit, and HOA operations
  • Perform other daily duties as assigned
