About The Position

We’re looking for a hands-on, detail-oriented Accounting & Finance Manager to take ownership of the firm’s day-to-day financial operations. This individual will be responsible for managing cash flow, billing, collections, accounts payable/receivable, and monthly reporting, and will play a key role in helping leadership make informed financial decisions. This is not a back-office, siloed finance role. You’ll work closely with the COO, partners, and department leads to streamline processes, strengthen financial controls, and ensure the firm runs smoothly and profitably. The right person is proactive, systems-oriented, and thrives in a fast-paced, high-accountability environment. We are open-minded and encourage someone to recommend and advise on continuous improvement best practices.

Requirements

  • 5+ years of progressive accounting and financial operations experience
  • Strong knowledge of GAAP, cash flow management, and accounting best practices
  • High proficiency with billing/accounting software and Excel
  • Excellent communication skills — able to explain financial concepts clearly
  • Meticulous attention to detail and ownership mentality
  • Proven ability to manage competing priorities and meet deadlines

Nice To Haves

  • Experience in a law firm or professional services firm is preferred

Responsibilities

  • Manage daily and weekly cash flow and liquidity reporting
  • Prepare monthly financial reporting packages (PL, cash flow statements, billing/collections KPIs)
  • Work with outside banks and accountants
  • Maintain the firm’s general ledger and chart of accounts
  • Collaborate with leadership on budgeting, forecasting, and financial planning
  • Oversee prebill edits and final invoice preparation across all practice groups
  • Ensure time entries are accurately captured and billed
  • Identify billing discrepancies or inefficiencies and recommend improvements
  • Work closely with attorneys and support staff to resolve billing questions
  • Monitor aging reports and drive AR collections activity
  • Develop and manage follow-up procedures for overdue balances
  • Maintain communication logs and escalate client issues when appropriate
  • Oversee invoice intake, approval workflows, and vendor payments
  • Track firm expenses and help identify cost-saving opportunities
  • Maintain accurate AP records and ensure timely reconciliation
  • Evaluate and enhance accounting workflows and internal controls
  • Ensure adherence to accounting standards and compliance requirements
  • Support external accountants during year-end close and tax prep
  • Monitor all IOLA/trust account activity in real-time
  • Reconcile each individual client ledger to the trust account balance daily or weekly (at a minimum monthly)
  • Trust Deposits Withdrawals - Oversee proper deposit of client retainers and settlement funds into the trust account
  • Ensure disbursements are made only when earned or properly authorized, and with clear documentation
  • Confirm disbursements are made to the correct party and supported by closing statements, settlement agreements, or time records
