Administration of Human Resource Programs

The File Clerk at the Department of Veterans Affairs is responsible for providing administrative support in a healthcare setting, focusing on filing, record management, and customer service. The role requires a working knowledge of medical center programs and services, ensuring that health information is accurately processed and maintained in compliance with established regulations.

  • Perform duties related to the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information.
  • Electronically scan various health information documents into VistA Imaging and ensure they are associated with the correct patient records.
  • Follow established scanning procedures and conduct administrative quality checks of all documents prior to scanning/indexing.
  • Confirm record integrity and review image quality in the VistA Imaging display after scanning and indexing.
  • Notify the Supervisor of any errors in scanning or indexing, including incorrect patient associations or corrupted images.
  • Review documents for appropriate scanning criteria and ensure all necessary information is integrated into CPRS through scanning software and hardware.
  • Remove any paper clips, staples, tape, and loose hanging tape from documents before scanning.
  • Index all documents imported from other devices or sources correctly in VistA Imaging.
  • Maintain confidentiality of all electronic and paper health records, following appropriate procedures for mailing and destruction.
  • One year of general experience in clerical, office, or related work that demonstrates the ability to acquire the necessary knowledge and skills for the position.
  • Alternatively, two years of education above high school in an accredited business, secretarial, or technical school, junior college, college, or university may substitute for experience.
  • A combination of general experience and education may also qualify for this position.
  • Experience with health information management systems.
  • Familiarity with VistA Imaging and CPRS.
