Field Operations Coordinator

About The Position

This position is responsible for overseeing and coordinating administrative and operational support across multiple sites. This role ensures consistency, accuracy, and efficiency in clerical processes while supporting the Director, Operations Managers and Site Supervisors and acting as a liaison between locations, as well as internal and external customers. The Coordinator plays a key role in standardizing procedures, improving workflows, and supporting cross-site communication and reporting.

Requirements

  • Proficient in operating office equipment and software, including Microsoft Office Suite and enterprise systems.
  • Strong communication skills to effectively interact with site teams, vendors, and management.
  • Excellent organizational and time management skills; ability to prioritize and manage multiple tasks across locations.
  • Analytical mindset with attention to detail for reviewing reports and identifying inconsistencies.
  • Ability to travel occasionally between sites as needed.
  • Comfortable working independently and collaboratively in a fast-paced, multi-site environment.
  • High School diploma or equivalent required; Associate’s degree or relevant certification preferred.
  • 3+ years of administrative or clerical experience, with at least 1 year in a multi-site or coordination role.
  • Strong computer literacy, including experience with spreadsheets, databases, and reporting tools.
  • Demonstrated ability to lead process improvements and support cross-functional teams.

Responsibilities

  • Provide advanced administrative and clerical support to multiple site supervisors and their teams to ensure smooth operations across all assigned locations.
  • Review and consolidate BRCs (Billing Repair Cards) from multiple sites, ensuring accuracy and timely submission for invoicing.
  • Monitor and verify man-hour submissions from all sites; coordinate with payroll to ensure accurate and timely processing.
  • Compile, analyze, and distribute monthly reports across sites, identifying trends and discrepancies for management review.
  • Manage purchase orders and inventory across multiple locations, ensuring materials are ordered, received, and reconciled accurately.
  • Develop and maintain standardized administrative procedures across sites to ensure consistency and compliance.
  • Support and coordinate Quality initiatives across locations, including documentation, tracking, and follow-up on action items.
  • Serve as the primary point of contact for inter-site communication regarding administrative processes and reporting.
