About The Position

Pembina Pipeline Corporation’s Jamestown office is recruiting for a Field Office Administrator to join the team. This position reports to the Supervisor, Field Administration, and will support the TBU (Transmission Business Unit) team.Responsibilities may include but not limited to:This position provides reception, administrative & clerical support for the Jamestown, ND field office. Responsibilities for this position will include but not be limited to:

Requirements

  • Minimum of a High School diploma; Business Administration Certificate/Diploma or other post-secondary education is an asset;
  • Skilled user of Microsoft Word, Excel, PowerPoint and SharePoint programs;
  • Advanced user of Outlook and MS Teams;
  • SAP experience is an asset;
  • PowerBI, Intellex and Bluebeam or Adobe experience is an asset;
  • Valid Drivers License required;
  • Self-starter with a strong work ethic;
  • Ability to multitask various initiatives while maintaining attention to detail and data entry accuracy;
  • Strong verbal & written communication skills;
  • Excellent customer service and interpersonal skills;
  • Advanced time management skills to balance competing priorities;
  • Ability to work efficiently and under minimal supervision;
  • Tenacious and adaptable with a focus on continuous improvement; and
  • Able to influence and maintain a positive work-environment and enthusiastic attitude.

Responsibilities

  • Monthly accruals, forecasting and budget maintenance activities in Excel & SAP;
  • LRP (Long Range Plan) maintenance;
  • Create and maintain PRs (Purchase Requisition) in SAP;
  • Invoice processing: create and maintain Goods Receipts, Service Entry Sheets and work with SCM & AP to ensure timely payment;
  • Fleet/Vehicle Administration: Telematics, pulling reports, working with the Fleet team to place orders and schedule vehicle maintenance;
  • LMS & curricula management: schedule training, upload documents, maintain training calendar, distribute reports;
  • Provisioning: set up profiles, access, credit cards and assist new hires with onboarding requirements;
  • Maintain Teams Shifts & team calendars;
  • Enter safety statistics and produce reports in PowerBI and Excel based programs;
  • Maintain SharePoint site: upload documents, create new folders and files;
  • Assist with corporate credit card reconciliation, travel planning and booking;
  • Assist with Community Investment activities: maintain cost tracking spreadsheet, review upcoming opportunities with Area Supervisor & work with community members to facilitate applications for funding;
  • Reception: answering telephone and incoming radio calls, signing in office visitors and providing excellent customer service;
  • Creation and editing of reports and documents, word processing, filing, and mail distribution;
  • Attend Operations and Safety meetings: maintain meeting minutes, facilitate meetings and develop presentations;
  • Assist Planner/Schedule with: picking-up and delivering parts, receiving packages and placing orders as required;
  • Provide backup administrative support for vacation/sick relief as needed;
  • Attend mandatory safety training;
  • Continually seek out opportunities to improve efficiency & productivity of processes or systems;
  • Other duties as requested.
