The Field Clerical position at American Lighting & Signalization, LLC involves supporting the Regional Office Manager and other management staff with daily clerical needs. The role includes organizing meetings, appointments, and travel arrangements, handling inquiries and work requests, and managing employee personnel information. The position also entails project administration to ensure deadlines and requirements are met, assisting management with weekly production reports, and performing secretarial duties for the regional management team. Additional responsibilities include maintaining office supply inventory, managing phone calls, sorting and distributing mail, and preparing bid packages for clients. The role requires maintaining a professional work area and providing support to foster a team environment.

  • Supports Regional Office Manager and other management staff in daily clerical needs
  • Organizes meetings, appointments, and travel arrangements
  • Handles inquiries, work requests, and employee personnel information
  • Ensures project deadlines and requirements are met
  • Assists management with weekly production reports
  • Performs secretarial duties including typing documents, data entry, photocopying, mailing, scanning, and faxing
  • Maintains office supply inventory and orders on a monthly basis
  • Answers, directs, and makes phone calls for the region
  • Receives, sorts, and distributes mail, email, FedEx, and fax
  • Downloads/uploads necessary documents for proposals/bids and prepares bid packages
  • Maintains a professional work area including conference room, front desk, waiting area, and supply areas
  • Provides support and assistance to help the facility and personnel function as a team
  • Completes all other duties assigned by management
  • Must be 18 years of age or older
  • Excellent skills in Adobe, Microsoft Word, Excel, PowerPoint, and Outlook
  • Knowledge of office and business practices, equipment, and procedures
  • Good planning, analysis, and organizing skills
  • Ability to react to change productively and meet short deadlines
  • Attention to detail and ability to identify/correct mistakes
