About The Position

Thalle Construction Co., Inc. is pleased to announce a career opportunity for a Field Administrative Assistant on the Central Everglades Planning Project (CEPP) Everglades Agricultural Area (EAA) A-2 Reservoir in Palm Beach County, Florida. This project marks the largest contract in the Jacksonville District’s history, valued at $2.87 billion. Thalle will oversee the construction of a 17.75-mile embankment dam and associated structures. This project offers potential Project Team members a valuable opportunity to broaden their professional experience and advance their careers throughout its duration. The CEPP plays a vital role in Everglades restoration, aiming to enhance ecosystem health, improve water storage, and increase resilience to climate change. Requirements

  • 2+ years of administrative, payroll, or clerical experience (construction industry experience a plus).
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail and accuracy in data entry.
  • Background in Microsoft Excel, Word, and Outlook.
  • Ability to perform sustained activities in an office setting.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Must be able to lift and carry up to 50 lbs
  • Must be able to talk, listen and speak clearly on telephone.
  • Must be able to follow directions
  • Must be able to communicate effectively

Nice To Haves

  • Bilingual (English/Spanish) is a plus.

Responsibilities

  • Provide clerical and administrative support to project management team
  • Assist with weekly payroll processing, timecard review, and data entry.
  • Verify employee hours, job codes, and phase codes for accuracy.
  • Coordinate with HR and Accounting to assist with new hires.
  • Maintain organized project files (digital and physical).
  • Assist with onboarding documentation and employee paperwork.
  • Communicate with field staff regarding payroll discrepancies or missing information.
  • Perform routine clerical and administrative tasks, including drafting correspondence, organizing paper and electronic files, and providing information to callers.
  • Receive and distribute a high volume of office mail daily, including emailed invoices, USPS, UPS, and FedEx deliveries.
  • Direct incoming phone calls and ensure proper routing.
  • Issue and enter project-assigned field purchase orders (POs).
  • Collect and enter Bills of Lading (BOLs) and delivery tickets.
  • Provide remote IT assistance under the guidance of third-party IT support.
  • Support executives, management, and various departments with special projects.
  • Perform other duties as assigned by Project Management.
