Requirements

  • Proven experience in client service, wealth management, or family office services.
  • Strong understanding of trust and estate planning, philanthropy, and investment management.

  • Excellent interpersonal and communication skills, with the ability to build trust and rapport with clients.
  • Proficiency in using financial software and tools to produce reports and manage data.
  • Ability to manage multiple responsibilities and meet tight deadlines while maintaining a high degree of accuracy.

Responsibilities

  • Act as the organizational hub for internal meetings and communication related to Family Office initiatives.
  • Prepare presentations, agendas, and reports for leadership and client meetings.
  • Support onboarding of new clients and new team members within the Family Office segment.
  • Manage the Head of Family Office’s calendar, schedule meetings across multiple time zones, and ensure priorities align with client deliverables and firm objectives.
  • Prepare daily and weekly agendas, briefings, and meeting materials.
  • Coordinate travel arrangements and logistics for client meetings, conferences, and internal meetings.
  • Anticipate scheduling conflicts and proactively resolve them.
  • Serve as liaison between the Head of Family Office and clients, client families, trustees, and internal teams.
  • Ensure timely follow-up on client requests and deliverables.
  • Assist in maintaining Salesforce with updated client notes, meeting summaries, and task status.
  • Draft client correspondence and meeting summaries with professionalism and confidentiality.
  • Track progress of client-related projects (e.g., philanthropic planning, investment updates, estate reviews, family education sessions) and internal initiatives.
  • Support coordination among cross-functional team investment, tax, estate, philanthropic, and administrative—to ensure cohesive service delivery.
  • Prepare quarterly client service calendars and ensure all milestones are met.
  • Process and reconcile expense reports for the Head of Family Office, ensuring alignment with firm policy.
  • Assist with client-level bill payment processes, including gathering invoices, coding expenses, and coordinating approvals.
  • Support internal treasury management and recordkeeping for client entities and trusts.
