About The Position

Oklahoma State Fair, Inc. is a 501(c)(3) not-for-profit organization that leases and manages all buildings and real estate from the City of Oklahoma City that makes up the OKC Fairgrounds. The State Fair Division is comprised of a small team of eight full-time employees who work all year to plan and execute the 11-day Oklahoma State Fair held in September. This position will be responsible for developing Fair events, organizing community stages and the State Fair Academy, and booking grounds entertainment under the supervision of Fair management.

Requirements

  • College education preferred and/or 3 years’ experience in special event planning required.
  • Previous customer service and personnel management experience preferred.
  • Skills must include professional communication (business writing, telephone and interpersonal), conflict management/customer service, problem solving, leadership, organization, facilitation, presentation, creativity, analysis and accuracy.
  • Detail-oriented with demonstrated ability to execute projects on time and on a budget with a collaborative work style and commitment to quality.
  • Knowledge of Microsoft software, especially Word and Excel required. Knowledge of Canva is a plus.
  • Ability to learn new software programs with minimal or no training.
  • Enthusiastic, self-motivated multitasker with the ability to work efficiently with minimal or no supervision.
  • Available and able to work out of town, when necessary.
  • Utilize task prioritization and effective time management skills to meet frequent and competing deadlines in a high-volume, high-stress environment.
  • Perform detailed work in a team-oriented, fast-paced, event-driven environment handling multiple tasks with flexibility in a calm, professional manner.
  • Effectively communicate with others in a clear, business-like, respectful and personable manner focused on generating a positive, enthusiastic and cooperative environment.
  • Maintain high standards of appearance and grooming (i.e., clean, wrinkle free clothing, proper uniform/attire, close attention to personal hygiene).
  • Meet the company standard for excellent attendance, job reliability, diligence and dedication.
  • Possess a valid driver’s license and a clean driving record.
  • Speak, read and write in English.
  • Extended hours, nights and weekends will be required during peak periods.
  • Frequent or continual movement from place to place with normal physical mobility, covering long distances with ease, managing assigned tasks throughout various indoor and outdoor locations within and around the property and in potentially inclement/severe weather conditions.
  • Regularly lift, carry and put away items weighing up to 25 lbs. and occasionally lift and carry heavier items and/or assist others in lifting heavier objects, as job demands.
  • Walk and/or stand for extended periods in addition to other prolonged physical exertions including seeing, hearing, reaching, grasping, lifting, pushing, pulling, squatting, crouching, stooping, bending, kneeling, climbing and working in awkward positions and tight areas may be required.

Nice To Haves

  • Previous experience in the education and entertainment industry is a plus.
  • Knowledge of Canva is a plus.

Responsibilities

  • Acts as primary coordinator for special events, community stages, grounds entertainment and State Fair Academy.
  • Research and contract special events that will create and draw public interest.
  • Recruit demonstrators and performers. Handle performer agreements, scheduling, stage personnel and signage for community stages.
  • Research and contract local, regional and national grounds entertainment.
  • Recruit schools. Develop new program ideas, marketing tactics and PASS objectives with the help of Department of Education and Ag in the Classroom. Secure volunteer Academy captains and workers.
  • Request distribute and track credentials for all areas
  • Handle all office related tasks for all areas
  • Assist in the development of new events, exhibits and community outreach opportunities. May work cross departmentally in various endeavors.
  • Assist in the hiring and managing of a 6-month, seasonal assistant
  • Generate a post-Fair report, consisting of suggestions and thoughts for future department activities.
  • Assist with and attend trade shows and conferences.
  • Support the activities of any other events owned or produced by Oklahoma State Fair, Inc. such as OK!toberfest, immediately following the annual State Fair event.
  • Assist in other departments as needed.
  • Other duties as assigned.
