The Faculty Support Specialist will act as a seamless extension of the faculty they support and will work closely with other Faculty Support Specialists across ten academic units, as well as with their manager. This role requires individuals to work independently with minimal supervision while also being effective team players. The position demands outstanding organizational skills, meticulous attention to detail, and the ability to communicate effectively and professionally. The successful candidate will demonstrate initiative and a willingness to continuously develop new skills, manage competing priorities, meet deadlines, and follow through on projects. A strong customer service orientation, good judgment, and flexibility are essential, along with the ability to handle confidential material with tact and discretion. The position is hybrid, requiring onsite work at the Boston campus three days a week, with specific hours and days determined by business needs. Specific duties include but are not limited to administratively supporting multiple faculty members while acting as a liaison between students, other instructors, and various HBS and University departments. The specialist will support faculty during teaching by assembling and editing syllabi, preparing materials and presentations for class, coordinating arrangements for class visitors, proctoring exams, and coordinating audiovisual support as needed. They will also be responsible for maintaining the HBS course platform for faculty, producing seating charts, and updating class participation records. The role involves facilitating online course delivery using various virtual learning platforms, managing complex calendars, scheduling appointments, and preparing documents for meetings. The specialist will perform basic online research, assist in document preparation for articles and cases, and maintain accurate and organized files for faculty. Additionally, they will coordinate complex travel arrangements, prepare itineraries, process expense reimbursements, and arrange meetings and special events. The ability to prioritize conflicting needs and handle matters expeditiously is crucial, as is the responsibility for greeting visitors and responding to communications in a timely manner.
