About The Position

The Tippie College of Business is now accepting applications for the role of Faculty Recruitment Specialist. This position will provide comprehensive administrative support for Faculty Affairs. This position must be able to work collaboratively across all academic and non-academic departments, job candidates, and hiring committees. This position is eligible for a combination of on-campus and remote work when feasible. Work arrangement options will be discussed during the hiring process. A successful candidate will be a positive, dynamic self-starter, flexible to adapt to unexpected change, and be able to make decisions in a fast-paced environment. This individual must be comfortable interacting with stakeholders of all organizational levels, job candidates, businesses, along with being comfortable conducting small group training classes for hiring committee members. This position will support and coordinate all logistics for faculty recruitment, including, creating job descriptions and advertisements, submitting jobs for approval, running the day of the interview as the candidate’s main point of contact, drafting job offer letters, and processing all other paperwork associated with interview requests and approval to hire. This position will also provide support to the faculty affairs manager by electronically filing documents, uploading documents to e-Personnel, assisting with annual review processes, and help with overall organization of shared documents. If coordinating an in-person event (job interviews, new faculty orientation), this role is responsible for accessing the space, catering needs, calendar coordination, and any other in-person delivery logistics.

Requirements

  • Bachelor’s Degree or the equivalent combination of education and experience.
  • Experience (1-3 years) and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units, including proficiency with computer software applications.
  • Must be highly organized and detail oriented.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to organize and manage multiple complex events/programs simultaneously to successful conclusion.
  • Demonstrated ability to develop and strengthen working relationships with a population of varying perspectives, including internal and external constituents, through positive interaction and collaboration.
  • Demonstrated ability to work independently and as a team member to accomplish goals.
  • Ability to move and position up to 20 pounds.

Nice To Haves

  • Knowledge of University policies and procedures, including financial and human resources policies; and experience with University electronic systems including HRIS, MAUI and Workflow processes.
  • Experience working in an academic department.
  • Experience creating or improving office operations.

Responsibilities

  • Collaborates with the Tippie College of Business HR team and departments to coordinate faculty searches. Serves as an administrator on faculty searches.
  • Create faculty job requisitions in Jobs@UIOWA application system in compliance with the Office of Civil Rights Compliance policies.
  • Assist search chairs with the submission of required documentation to request permission to interview and make offers to candidates in compliance with the Office of Civil Rights Compliance policies.
  • Post job advertisements on external outlets such as Higher Ed Jobs website.
  • Conduct Jobs@UIOWA system overview training sessions with search chairs, as needed.
  • Assist with pre-interview scheduling, travel arrangements, along with event set up, scheduling and room reservations, calendar invites, and other logistics as requested.
  • Assist with day-of support and guidance for candidate interviews; to include meeting the candidate upon arrival, escorting them to meetings throughout the day, while being diligent about keeping the scheduled day on track. Will also make sure rooms are set up for interviews and catering (if applicable).
  • Track the status of ongoing faculty searches and serve as project manager for searches.
  • Process catering invoices, travel invoices, and receipts with University Shared Services.
  • Upload faculty files in e-Personnel (administrative letters, agreements, etc.).
  • Draft faculty job offer letters in coordination with the DEO and Senior Associate Dean.
  • Data management in Microsoft Teams, OneDrive, Excel, Salesforce, and other platforms used to track information.
  • Compose logistical communications for departmental faculty participating on interview days, job candidates, and hiring committees.
  • May provide direction, assignments, and feedback to student workers and/or staff.
