About The Position

The Office of the Provost is seeking a highly organized, proactive, and service-oriented Faculty Affairs Program Manager. In this role, you will work closely with the Vice President and Associate Provost for Faculty Affairs (VPAFA) as part of a highly professional team dedicated to supporting faculty throughout their careers. This is a dynamic, in-person role that requires discretion, collaboration, and the ability to manage multiple priorities with efficiency and professionalism. The successful candidate will be a trusted partner to provost's office leadership, colleagues across the university, and external stakeholders, ensuring seamless support and advancing the priorities of faculty affairs.

Requirements

  • Bachelor's degree (required)
  • Minimum of 5 years of professional experience in higher education, administration, program management, or a related field.
  • Experience supporting senior leaders or executives in a professional setting strongly preferred.
  • Strong written communication, editing, and proofreading skills with attention to detail and accuracy.
  • Proficiency in Google Workspace; working knowledge of Microsoft Word, Excel, PowerPoint, and Adobe Acrobat.

Nice To Haves

  • Master's degree (preferred)
  • Event planning and committee management experience a plus.

Responsibilities

  • Serve as the primary point of contact for the VPAFA, fielding calls, managing communications, and prioritizing emerging issues requiring coordinated response.
  • Support faculty lifecycle processes tied to the VPAFA's responsibilities, including reappointments, promotions, and appeals (TPAC-RL), faculty research and administrative leaves, faculty parental and FMLA leaves, and faculty separations and retirements.
  • Manage the VPAFA's complex calendar, coordinate meetings, prepare agendas/materials, and draft professional correspondence and minutes.
  • Assist with travel arrangements, itineraries, and expense reports.
  • Coordinate VPAFA initiatives such as New Faculty Orientation and ND Lead, as well as faculty development events that foster community and growth.
  • Plan event logistics: secure venues, catering, A/V, travel, RSVPs, and itineraries.
  • Manage elections and records related to university committees, supporting both annual and ad hoc cycles.
  • Oversee the review and workflow of procedural items in OnBase, and assist with faculty hiring, tenure, and reappointment processes.
  • Support executive searches, program reviews, and other projects in the VPAFA's portfolio by coordinating schedules, travel, and logistics.
