About The Position

The Faculty Administrator at Harvard University provides high-level administrative support to a Faculty member and their research group, ensuring efficient management of daily activities and complex tasks. This role involves liaising with various departments and external organizations, managing travel arrangements, organizing events, and maintaining documentation for student job searches. The position requires a detail-oriented individual capable of handling sensitive information and supporting the Faculty member in teaching and research-related duties.

Requirements

  • A minimum of 5 years of administrative experience, education may count towards experience.
  • Bachelor's degree preferred.
  • Extremely detail-oriented with excellent interpersonal skills.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to multi-task under competing deadlines and shifting priorities.
  • Proactive with sound judgment and initiative.
  • Ability to handle complex, confidential, and sensitive information professionally.
  • Strong customer service orientation and team player.
  • Strong computer skills (Word, Excel, PowerPoint, Outlook) and willingness to learn new software.

Responsibilities

  • Provide complex administrative support to a Faculty member and research group of 30+ members.
  • Manage day-to-day activities and ensure efficient operations of the Faculty member's office.
  • Liaise with lab, faculty, departmental, FAS, University, and external organizations.
  • Respond to and manage a large volume of invitations for lectures and events.
  • Organize and maintain the Faculty member's complex travel schedule, including last-minute changes.
  • Track and follow up on third-party travel reimbursements and transactions.
  • Plan and execute meetings, special events, and seminars.
  • Manage high volume of letters of recommendation and assist with student job search documentation.
  • Oversee group database projects and management, including student talks and publications.
  • Manage videoconference and multimedia equipment.
  • Design and implement standard operating procedures and administrative systems.
  • Purchase office supplies and oversee office equipment maintenance.
  • Assist Principal Research Scientist with administrative and financial functions.
  • Cross-train with Laboratory Financial Administrator and provide backup as needed.
  • Work on special projects and other duties as assigned.
