About The Position

The Facilities Services Associate provides exceptional office and facilities services. The primary function of the role is to work in facility services with additional support for mail tasks such as scan, sort, log and distribute incoming mail to end users, process, and ship outgoing mail. This position will work together with the Facilities Manager to ensure safety and cleanliness to help guarantee a great working environment for all. This position will also oversee repairs and maintenance required for simple fixes, or report more complex problems. Overall, this position continuously offers the highest level of service to all client and SPS employees while maintaining a professional image of the company by providing prompt, courteous and efficient service. The candidate will be responsible for delivering and picking up packages, as well as sorting incoming and outgoing mail. Additional duties include setting up conference rooms, cleaning and vacuuming offices, and burnishing floors. The candidate will also assist with cleaning the cafeteria after breakfast and lunch service, provide support during office moves, maintain pantries, and restock supply closets, including replenishing copy paper in printer locations. The department is also responsible for providing coverage in the firm's fitness center. This includes folding socks, T-shirts, and shorts, as well as ensuring that all toiletries are stocked. The candidate will maintain cleanliness in the men's and women's showers, restrooms, and overall fitness center. Other responsibilities include answering phones and assisting clients as needed at the front desk, inputting packages into the computer system, changing light bulbs, and operating the postage machine. The candidate must be able to stand for long periods and lift at least 50 pounds. Additionally, duties may involve assisting with packing up offices and some knowledge of stripping and waxing floors is preferred. The ability to learn and properly use equipment is essential. Other duties may be assigned as needed. Training will be provided for all responsibilities.

Requirements

  • 1+ year experience in administrative, retail, restaurant, delivery/mail, office services, or similar.
  • A positive and professional attitude with a willingness to go above and beyond for our customers.
  • Ability to handle physical duties (carrying and/or moving 40lbs) associated with the job - lifting, bending, etc.
  • To be able to work both independently and in a team setting successfully.
  • The capability to use/learn technology such as: handheld scanners, Adobe/Word, email, professional messaging (Teams, Slack, Google).
  • An ability to be bright, articulate, and neat in appearance.

Nice To Haves

  • Any maintenance skills would be an advantage.
  • The candidate should also be open to training on how to operate maintenance equipment such as burnishers, auto scrubbers, and other facility tools.
  • Some knowledge of stripping and waxing floors is preferred.

Responsibilities

  • Maintaining proper inventory for supplies related to copiers, printers and fax machines.
  • Assist with the inventory and maintenance of existing furniture and equipment.
  • Stocking of kitchens and copy rooms, includes resupply and inventory.
  • Light cleaning/tidying of offices, kitchen, bathrooms, and conference rooms.
  • Receive/sort incoming mail and parcels to business center.
  • May support the onsite business center, which may include: copy/print, conference room setup up, or serving as backup to reception area.
