About The Position

This position is located within the Engineering Service at the West Roxbury, MA campus of the VA Boston Healthcare System. The Facility Services Assistant is responsible for servicing all maintenance, repair and minor improvement requests to equipment and utilities. Also, implements work order responsibilities for routine and preventative maintenance.

Responsibilities

  • Monitors and reports work order completion timeframes.
  • Provides feedback on status of work orders to the requestor.
  • Approves and disapproves work order requests.
  • Assigns work order priority, and monitors work progress of jobs assigned to trades shops.
  • Ensures that work sequence, procedures, methods and deadlines meet supervisor instructions.
  • Evaluates utility needs for new and relocated equipment, adjusts maintenance schedules and initiates equipment replacement.
  • Provides system control, oversight, data entry, repair history, analysis and documentation of the ongoing maintenance control program for the facility.
  • Maintains a log of minor improvement requests, estimated cost, priority, and proposed method of accomplishment (in-house or contract).
  • Prepares monthly, quarterly and annual maintenance and operational program reports.
  • Recommends adjustments or reprioritization based on variables such as equipment failure resulting in emergencies or threats to equipment or personnel.
  • Analyzes equipment manuals and contractor recommendations and conducts discussions with tradecraft personnel to verify or correct data.
  • Reviews and updates all local Engineering Service policies associated with Utility Management, ensuring that all such policies are current and accurate.
  • Serves as a Contracting Officer's Representative and provides oversight of outside vendors/contractors performing work on site, and manages multiple service contracts within Engineering Service.
  • Prepares memos, letters, reports, forms and other correspondence.
  • Ensures that appropriate Medical Center personnel/services affected by scheduled utility outages are adequately notified prior to any interruptions or equipment downtime.
  • Performs other related duties as assigned.
