About The Position

Provides administrative support to the Director of Athletics and Activities regarding Board Policy KF-R as it applies to community use of school facilities. Communicates with public and internal staff about district athletic and activities and use of facilities. Calculates all sue agreements, execute billing and collects monies for facility/field rentals. Assists schools in the management of classrooms, cafeterias, theaters, pools, gyms and field usage. As well as District Stadiums. Develops and promotes positive community relations among various community and school clientele.

Requirements

  • High school diploma or equivalent.
  • Ability to manage large volume of phone and online requests.
  • Administrative assistant/clerical, event organizer, bookkeeping, budget, payroll, accounting, human resources, or any manager, supervisor, or coordinator experience.
  • Strong customer service skills and client relations with district personnel and community members.
  • Compose correspondence utilizing strong written and verbal skills.
  • General computer and office machine knowledge.
  • Proficiency with specialized software packages (e.g., School facility scheduler, accounting, purchasing) and cost recovery management.
  • Organizational skills.
  • Word processing.
  • Experienced in problem solving and troubleshooting.
  • Administrative assistant/clerical, event organization, accounting, accounts payable, accounts receivable, banking/loan servicing, or bookkeeping experience.

Responsibilities

  • Maintains files, databases, website, accounting records, payments, adjustments and collection of bills.
  • Coordinates building use, staff help, custodial needs, usage fees, calendar availability for each facility usage between requester and facility/field involved.
  • Corresponds with general public and school district personnel with regard to facility/field use and rentals.
  • Processes all rental agreements for outside organizations including securing certificates of insurance for required activities, maintains list of default renters from CCSD and surrounding districts.
  • Responds to telephone calls, e-mail, faxes, routes calls, takes messages, may maintain calendar of meetings and appointments for supervisor and assists staff, parents and community in regard to concerns and questions.
  • Maintains budgets and processes purchase orders and other financial documents including contracts, supplemental pay, payment of helpers at district or rental events, and CHSAA fees and sponsored events.
  • Drafts letters, memoranda, evaluations, work orders, newsletters, reports, special projects and related materials. Records and disseminates minutes of meetings.
  • Provides training to renters, staff members and all facility rental employees encompassing computer support, troubleshooting and error resolution with hard and soft technology, and scheduling.
  • Applies District Policy KF and joint use agreements of each jurisdiction relating to facility use and rental.
  • Performs other related duties as assigned or requested.
