About The Position

We are looking for a Facility Project Manager to join our Administration Team to improve infrastructure in our offices. The candidate must have at least five years of related experience and strong project management skills, the ability to coordinate multiple ongoing renovation and facility projects, and the capability to interact with diverse stakeholders. The candidate must also be self-motivated, work well with others, and have excellent writing, organizational, and communication skills. Typical responsibilities include: Oversee all facility-related projects, including office renovations, relocations, construction, and facility improvements. Manage and track building leases, lease amendments, lease letters of intent, renewals, space planning, and occupancy requirements. Develop comprehensive project schedules, identify critical milestones, and ensure deadlines are met. Monitor and report on budgets for all renovation and facility projects; forecast costs and identify variances. Coordinate with architects, engineers, contractors, and vendors; as well as review proposals, bids, and contracts. Conduct on-site project inspections to ensure work quality, adherence to scope, and safety compliance. Maintain project documentation, including schedules, budgets, change orders, and status reports. Facilitate communication between internal teams, ensuring alignment of design, functional requirements, and timelines. Manage facility space analysis company-wide with an annual update process developed. Develop and maintain processes for facility maintenance, asset lifecycle tracking, and renovation standards. Structure support for business continuity applications. Support crisis response and business continuity for facility-related issues (e.g., emergency repairs, disruptions). Prepare executive-level updates, dashboards, and recommendations for leadership. Inspect facility conditions to ensure compliance with building codes, safety regulations, and organizational policies. Frequent travel to company offices and jobsites. Requires ability to sit, stand, walk for extended periods, as well as lift up to 50 pounds as needed. Maintain a safe working environment.

Requirements

  • 5+ years of experience managing projects.
  • Experience in renovations, construction, or facilities operations projects preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and project scheduling tools.
  • Experience with contractor management, facility planning, and interpreting architectural plans.
  • Strong project budgeting, cost-tracking, and reporting skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple projects simultaneously and work under tight deadlines.
  • Project management, project scheduling, budget forecasting, vendor negotiation, understanding of building codes, ability to read construction drawings, and strong organizational and interpersonal skills.
  • Must demonstrate the ability to lead cross-functional teams and communicate effectively at all organizational levels.
  • Personal computer, Microsoft Office Suite, project scheduling software, facility/maintenance management systems, and basic understanding of construction and renovation tools and equipment.
  • Valid driver’s license

Nice To Haves

  • Associate or bachelor’s degree in project management, Facilities Management, Construction Management, Business Administration, or related field preferred.
  • Experience in renovations, construction, or facilities operations projects preferred.
