What this job involves – The Facilities Manager will be the single point of contact responsible for facilities management at an assigned site/s, managing others, and assisting the Regional Facilities Director and the JLL client account team with the delivery of quality facility management services. This role will coordinate and manage client requirements, vendor relationships and performance, and service delivery to ensure satisfaction. What is your day to day? Establish open lines of communication to build trust and provide transparent exchanges of information with the site team – become the face of JLL for site leadership. Provide overall facility services in accordance with accounts’ standard processes and procedures including application of policies and programs, coordination of information Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner Develop and maintain positive relationship with Client POC, stakeholders, and operations teams. Act as the primary interface on-site with client representatives. Collaborate to determine client expectations and ensure delivery of committed services and overall satisfaction with JLL performance. Inspect buildings routinely to guarantee that building services are at the highest level of quality standards. Support the Client in the implementation of short and long-term projects, the development and management of the site’s capital and expense budgets, and daily maintenance activities. Develop and implement innovative programs, processes, and procedures that reduce short- and long-term operating costs and increase productivity. Assist vendors with site visits, onboarding, and other items as necessary to drive high-level service output by reviewing and analyzing KPIs and SLAs defined in the scope of work (SOW). Understand operations for all FM vendors under management and ensure proper tools are in place to manage vendor performance. Monitor vendor contract terms and conditions as well as invoice compliance. Supervise vendor performance; resolve, track, and document vendor escalations quickly and efficiently, implementing action plans to improve performance, where necessary. Contribute to vendor performance assessments via scorecards, business intelligence, MBR/QBRs, and performance improvement action plans. Responsibility for driving site KPI’s, financial and other metrics plus reporting for monthly, quarterly, annually or as needed. Build collaborative relationships with vendors and client. Support the Regional and Account leadership with other duties as assigned

Requirements

  • Experience collaborating with multiple functions to achieve results.
  • Strong analytical skills for structured problem solving and root cause analysis.
  • Minimum of 6 years industry experience in either the corporate environment, third party service provider or as a consultant
  • Strong organizational and management within matrixed organizations; oversight of both technical and administrative staff
  • Excellent listening, verbal, and written communication skills
  • Ability to build repeatable processes that surpass customer expectations
  • Ability to multi-task and work without direct supervision
  • Ability to plan and manage work under time constraints
  • Strong presentation skills
  • Proficient in MS Office and MS Share Point as well as MS Excel with ability to analyze data
  • Computer proficiency in CMMS/Work Order systems
  • Supervise vendor performance during normal and off hours including weekends when necessary
  • US citizenship is required for this position due to government contract requirements

Nice To Haves

  • Bachelor’s Degree in Engineering or related field.
  • Knowledge of real estate, telecommunications, furniture, accounting and building systems
