About The Position

The Facility Coordinator at JLL is responsible for overseeing the general operations of the facility, ensuring a high level of customer satisfaction, and managing property management tasks. This role involves continuous monitoring of the facility, handling service requests, coordinating with vendors, and maintaining the online work order system. The position requires excellent communication skills and the ability to multitask in a fast-paced environment.

Requirements

  • Associate's degree in facilities management, business, or another related field; Bachelor's degree preferred.
  • 2+ years' experience with facility or property administration.
  • Excellent communication skills, both written and verbal.
  • Superior customer service skills and orientation.
  • Ability to maintain professionalism under stressful situations.
  • Ability to plan and manage work orders under time constraints.
  • Ability to multitask and work without direct supervision.
  • Strong organizational and time management skills.
  • Proficient in MS Office.

Responsibilities

  • Provide general overall facility coordination services including continuous monitoring of the facility.
  • Handle routine property management operations, including procurement of office supplies and ensuring customer satisfaction for clients, agencies, and visitors.
  • Act as reception to the space, meet and greet visitors, and answer phone calls as needed.
  • Provide direction and information to vendors, facility staff, and service providers to ensure excellent coordination and execution of work within the client environment.
  • Receive and respond to client service requests via emails, phone calls, and in person.
  • Monitor and maintain the online work order system (Corrigo).
  • Assist vendors with quote and invoice submittals to ensure target SLAs are met.
  • Create purchase orders as required.
  • Coordinate contractor access requests and approvals through Smartsheet.
  • Complete building and exterior walkthroughs, generating work orders for noted deficiencies.
  • Order supplies for general office use and various client-driven initiatives as needed.
  • Attend, participate, and provide support for meetings, events, and conference room reservations as needed.
  • Periodically check the building mailroom and notify recipients of packages for retrieval.
  • Participate as a key team member in response to emergency situations.
