The Facilities Systems Specialist (FSS) supports and maintains quality assurance processes and information technology operations within the Division of Facilities. This position is responsible for, but not limited to, ensuring quality assurance (QA) processes through conducting Internal Facilities Assessments (IFA), data quality processes of Asset Inventory and Preventative Maintenance (PM) within the Computerized Maintenance Management System, IT systems and device support, data analytics and visualization, and web and graphic design. This role is pivotal in upholding data accuracy and quality assurance processes, as well as maintaining standardized brand design across intranet and forms of correspondence that are essential in supporting the missions and goals of the Division of Facilities. The FSS must maintain a professional working relationship with state representatives and act as a liaison during Maintenance Effectiveness Assessments (MEA) performed by the Interagency Commission on School Construction (IAC). Additionally, this role plays a crucial part in assisting system end users offering software and device support, developing and delivering technical training, and facilitating troubleshooting through various methods of correspondence.

  • Adhere to quality assurance standard operating procedures to uphold a high level of data quality within the organization.
  • Effectively manage record updating processes to uphold data accuracy, collaborating with Supervisors and Foreman to streamline data collection and entry procedures.
  • Utilize data analytics and visualization tools to derive insights and communicate findings effectively.
  • Conduct Internal Facilities Assessments (IFA) on a monthly basis assessing conditions of facility and maintenance equipment to ensure Quality Assurance (QA) procedures.
  • Collaborate with maintenance area Supervisor and team to perform IFA, marking deficiencies and making note of asset inventory discrepancies.
  • Gather and record newly acquired or previously unaccounted-for asset inventory details.
  • Prepare and deliver preliminary reports to Facilities Data and Technology Supervisor for evaluation.
  • Distribute work orders to area maintenance team based on deficiencies found.
  • Gather and submit data and documentation as outlined by the IAC requirements.
  • Escort state inspector throughout the facility, utilizing work order system to provide information as needed.
  • Review the Preliminary MEA Report and distribute work orders as needed for deficiencies.
  • Monitor work orders to ensure completion during the 15-Day and 45-Day period.
  • Submit responses and documentation to the IAC representative on the 15-Day and 45-Day submission period.
  • Serve as liaison to state representatives, facilitating effective correspondences to uphold professional rapport.
  • Analyze data and efficiently visualize data in a coherent manner.
  • Ability to run and generate reports and distribute to stakeholders.
  • Provide essential technical training for supervisors, foremen, and technicians.
  • Assist in troubleshooting software and device related issues by various methods of communication.
  • Develop, design and maintain online and physical instructional material.
  • Understand and utilize various design software programs to perform essential design functions (Adobe Suite, Figma, Canva).
  • Ensure intranet, documents, and correspondence are up-to-date in design and functionality.
  • Maintain a standardized design brand across all forms of correspondence.
  • Graduation from an accredited college or university with an associate's degree in information technology, Computer Science, Management Information Systems, or a related field.
  • 1-2 years of experience in a customer service environment.
  • Experience working with others in a team setting.
  • Graduation from an accredited college or university with a bachelor's degree in information technology, Computer Science, Management Information Systems, or a related field.
  • Experience in operating and maintaining databases, and producing reports from the same.
  • Experience with web page development, Google Drive, and Google Applications.
  • Experience with performing training on an individual basis, and in a group setting.
  • Experience in website design, development or administration.
  • Experience in the implementation or administration of CMMS software.
  • Familiarity with the FCPS policies, goals and programs.
  • Salary: $28.40 per hour; starting
  • 12-month position (260 days / year), 8 hours per day
  • Non-exempt from overtime under the Fair Labor and Standards Act
