The Facilities Supervisor is responsible for coordinating and supporting the maintenance and upkeep of the corporate office, including the building interior, exterior, and grounds. This role ensures the facility operates safely and efficiently by overseeing routine maintenance, coordinating vendor services, and monitoring building systems. This position also supervises the Mailroom Clerk and Front Desk Receptionist, ensuring smooth daily operations and a high level of service for employees and visitors. The Facilities Supervisor works closely with contractors, vendors, and internal teams to maintain the facility, manage preventative maintenance activities, and coordinate building projects.

Requirements

  • High school diploma or equivalent
  • Valid state driver’s license
  • 4–6 years of building or facilities maintenance experience
  • Strong communication and interpersonal skills
  • Ability to work effectively with contractors, vendors, and internal teams
  • Knowledge of building maintenance systems and preventative maintenance practices
  • Experience coordinating projects and managing multiple priorities
  • Microsoft Office proficiency
  • General building maintenance and repair knowledge
  • Frequent standing and walking
  • Ability to lift and carry up to 50 pounds
  • Ability to bend, reach, stoop, kneel, crouch, climb, and maintain balance
  • Ability to push and pull equipment and materials

Nice To Haves

  • Technical training in building maintenance or facilities management
  • 6+ years of maintenance experience
  • HVAC maintenance experience

Responsibilities

  • Coordinate the maintenance, upkeep, and general repair of the corporate office building, grounds, and related equipment.
  • Monitor building systems that support opening and closing operations including lighting, HVAC, and facility safety.
  • Perform minor building repairs including patching, painting, electrical work, and general utility maintenance.
  • Maintain the exterior grounds, parking areas, walkways, and building infrastructure.
  • Repair equipment and furniture to ensure safe and functional working conditions.
  • Track maintenance history and preventative maintenance schedules for building systems.
  • Conduct regular safety inspections and preventative maintenance checks.
  • Identify and escalate major repair needs related to HVAC, electrical, plumbing, or structural issues.
  • Complete annual building assessments to plan future facility repairs and improvements.
  • Serve as the primary point of contact for maintenance vendors and contractors.
  • Coordinate service calls and schedule contractors for repairs and maintenance.
  • Ensure contractor work meets required specifications and service expectations.
  • Maintain a master contact list for all contracted maintenance services.
  • Lead the use, training, and maintenance of facilities systems including: Metasys Tririga Omnimetrix
  • Monitor system usage and building operational data to support maintenance activities.
  • Coordinate and maintain the facilities maintenance project schedule.
  • Purchase maintenance supplies, goods, and equipment through internal requisition processes.
  • Partner with Grainger Indirect Procurement (GIP) and internal teams to evaluate service programs and vendor options.
  • Provide quotes and recommendations for maintenance services and contracts.
  • Supervise the Mailroom Clerk and Front Desk Receptionist.
  • Provide coaching, mentoring, and performance feedback.
  • Support hiring, training, and annual performance reviews for team members.
