SUMMARY Under general supervision, the Facilities Representative is responsible for being the day-to-day facilities presence at the main office. This position provides employees a variety of services including parking validations and access, badge access, coffee and break room supplies, and employee headcounts for C-Team. This position completes facilities maintenance requests from employees, schedules and supervises both on-site and off-site vendor activities, and ensures work is completed in a satisfactory manner. The Facilities Representative monitors break room, restroom and general workspace conditions, oversees and assists with offsite records retention inventory, and assists multi-market Facilities team members and employees with various, unexpected facility related matters. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Represent Georgia’s Own professionally and uphold a positive image with employees, members, vendors, and the community. Provide prompt, professional support for facilities-related needs across all credit union locations. Proactively identify and resolve issues to minimize disruptions. Communicate effectively with employees, vendors, landlords, and management through all channels, ensuring timely follow-up and accountability Monitor and respond to facilities service requests. Coordinate vendor services, verify completion and quality, and document related costs and details. Maintain accurate logs, reports, and databases for facilities operations, including parking accounts, company vehicle use and inspections, key issuing, main office attendance, department calendars, branch binders, etc. Support daily operations at the Engagement Center, including opening, closing, inspections, and housekeeping oversight. Ensure housekeeping and additional support services are performing. Address unexpected ATM or facility issues, coordinating timely repairs and managing temporary closures. Communicate irregularities to internal partners and building management. Manage inventory and ordering of breakroom, cleaning, and market supplies. Coordinate deliveries and monitor product freshness. Escort carrier for recurring deliveries and work with vending management to provide specific products as requested. Assist with setup and maintenance of conference and meeting spaces, ensuring proper access, equipment, and cleanliness before and after events. Perform and document routine inspections and maintenance of office equipment, appliances, and safety systems. Support Facilities Managers with vendor escorts, furniture moves, signage updates, and other maintenance or security tasks as needed. Process and track facilities-related invoices, ensuring accurate coding, timely submission, and on-time payments. Coordinate document retention logistics between branches and off-site storage, maintaining accurate inventories and destruction records. Capture box contents and upload details to web portal database. Prompt box owners to review inventory and make decisions on destruction. Manage parking deck accounts, validations, and employee/vendor access. Serve as liaison with parking management. Advise employees, visitors and vendors of parking options. Maintain and keep current monthly parker accounts. Administer building access badges, ensuring accurate activation/deactivation, permission levels, and audit reports. Investigate and resolve access discrepancies. Review after-hours activity report each morning and immediately notify unusual activity to internal partners. Compile all reports into a weekly summary and send to internal partners. Manage use of company vehicles, including check-in/out, inspections, and scheduling maintenance or cleaning as required. Maintain accurate daily headcount and occupancy reporting for the main office. Compile the data daily and send an end-of-week report to key internal contacts. Serve as after-hours contact for facilities emergencies, responding promptly to urgent maintenance or security issues across all locations. Provide backup support for mailroom operations, including package delivery, sorting, and acceptance of legal documents. Participate in daily space wellness checks of all leased space within Atlanta main office and record findings in the designated tracking tool. Complete all required company and position-specific training, maintain quarterly goals in Workday, and support special projects as assigned. Complete all special projects and duties as assigned and within the designated completion date.

Requirements

  • High school diploma or equivalent.
  • Five (5) years’ experience and/or training preferred.
  • Ability to manage multiple projects and assignments, quickly pivot to attend to emergencies, meet tight deadlines, and coordinate and communicate effectively among widely-dispersed parties.
  • Excellent oral and written communication skills with demonstrated ability to represent the organization’s mission and work in all internal and external forums.
  • Valid driver’s license, reliable mode of transportation.
  • Ability to read and interpret documents such as Policy and Procedure documents, safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to read, comprehend, and write basic instructions, short and professional correspondence, and memos.
  • Ability to add, subtract, multiple, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to use Microsoft Office suite of programs (Word, Excel, Outlook, etc.).
  • Ability to use Adobe, Nautilus, Prologue, Security Desk, and other software programs as assigned.
  • Ability to compute rates and percent.
  • Ability to lift 50 pounds and be able to perform physical tasks, including but not limited to pushing/pulling carts, lifting furniture, carrying boxes and bending to distribute supplies.
