About The Position

Holton-Arms School seeks a Facilities Project Manager to lead capital, construction, and campus-improvement projects that directly support our strategic priorities. This role ensures that our built environment reflects our mission, supports teaching and learning, and strengthens the daily experience of students, faculty, and staff. You will bring clarity to complex facilities initiatives, create structure where it is needed, and guide cross-functional teams, including Facilities, Finance, Academics, and external partners. The Facilities Project Manager plays a pivotal role in stewarding Holton’s physical campus, advancing operational excellence, and ensuring campus spaces remain safe, functional, and inspiring. Requirements

  • Demonstrated experience leading capital, construction, or facilities-related projects from planning through completion.
  • Ability to manage project scopes, timelines, budgets, documentation, and vendor performance with precision.
  • Strong problem-solving and risk-management skills with the ability to anticipate needs and remove obstacles.
  • Exceptional written and verbal communication skills, with the ability to translate technical information for nontechnical audiences.
  • Skilled at facilitating meetings, preparing clear updates, and aligning diverse stakeholders around shared goals.
  • Ability to build trusting relationships and work collaboratively across divisions.
  • Ability to connect day-to-day facilities decisions to broader institutional goals and long-term planning.
  • Comfort navigating ambiguity, shifting priorities, construction delays, and evolving school needs with steadiness and clarity.
  • Capacity to analyze processes, identify areas for improvement, and recommend practical, mission-aligned solutions.
  • Proficiency with project management tools (e.g., Asana, Trello, Smartsheet, or similar).
  • Familiarity with building systems, construction methods, RFP processes, and facilities operations.
  • Strong organizational skills with meticulous attention to detail.
  • Ability to manage multiple concurrent projects while maintaining high quality and accountability.

Nice To Haves

  • Experience in facilities, construction management, engineering, architecture, or a related field.
  • Experience in an educational, nonprofit, or mission-driven organization strongly preferred.
  • Bachelor’s degree required; project management certification (PMP, CAPM, Agile/Scrum) preferred but not required.
  • Understanding of building codes, safety requirements, and permitting processes.

Responsibilities

  • Lead the planning, coordination, and execution of facilities-related projects, including renovations, system upgrades, deferred maintenance, safety improvements, and capital initiatives.
  • Develop and manage project scopes, schedules, budgets, and vendor relationships to ensure work is completed on time and within budget.
  • Oversee contractor selection, bidding, contract negotiations, and performance throughout each project.
  • Monitor construction progress, ensure adherence to specifications, and proactively address issues to maintain momentum and project integrity.
  • Ensure compliance with local, state, and federal codes, permits, inspections, and safety standards.
  • Serve as the central communication hub among Facilities, Finance, school leadership, external partners, and campus users.
  • Prepare clear project updates, documentation, and recommendations to support decision-making.
  • Facilitate conversations that align campus needs, operational realities, and mission-driven priorities.
  • Build trusting, collaborative relationships across the School, honoring Holton’s values of community and shared purpose.
  • Evaluate current systems, workflows, and vendor processes to identify opportunities for improved efficiency, cost effectiveness, or safety.
  • Implement project management tools, templates, and reporting structures that support consistency and accountability.
  • Promote organizational learning by capturing lessons learned and best practices from each facilities project.
  • Support long-term facilities planning, budgeting, and lifecycle management alongside Facilities leadership.
  • Ensure that all facilities projects reflect Holton-Arms’ mission, values, and commitment to belonging, wellbeing, and sustainability.
  • Approach work with curiosity, empathy, and respect for the diverse needs of students, faculty, and program spaces.
  • Support a campus environment where safety, accessibility, and beauty contribute to a sense of community and connection.
