About The Position

Under the direction of the Chief Facilities Operations Officer, the Facilities Planning & Capital Projects Coordinator will support the development of a multi-year capital expenditure (CapEx) plan and help to supervise capital projects. The Facilities Planning and Capital Project Coordinator will participate in collecting building asset data, documenting existing infrastructure conditions, assisting with cost/repair projections, and helping translate facility needs into an organized long-term capital strategy. This role provides hands-on experience collaborating with operations, maintenance, compliance, real estate, and finance teams in a large multi-site behavioral health and educational organization.

Requirements

  • Education: Minimum High School Diploma required. Bachelor’s or Master’s degree in Architecture, Engineering, Construction Management, Facilities Management, Urban Planning, Business Analytics or a related field, or relevant experience preferred.

Nice To Haves

  • Experience: Experience with facility tours, construction, blueprint reading, lifecycle cost calculations, building trades, or asset management is helpful but not required.

Responsibilities

  • Assist in gathering building system data (HVAC, roofing, structural, electrical, plumbing, life safety, interior finishes, etc.) across multiple campuses.
  • Conduct facility walkthroughs to observe, photograph, and document conditions of building assets.
  • Support development of a structured building asset database (age, useful life, replacement cost, lifecycle status).
  • Assist with estimating cost projections using internal and external data sources, historical pricing, vendor quotes, and industry benchmarks.
  • Help prepare preliminary multi-year CapEx forecast reports and prioritization summaries.
  • Organize drawings, warranties, equipment records, and other facility documentation within a digital file system.
  • Review industry standards to understand equipment lifecycle expectations and capital planning methodologies.
  • Collaborate with compliance, safety, and licensing teams to understand regulatory considerations that influence capital projects.
  • Support communication with vendors/contractors when gathering information.
  • Attend relevant department meetings, supervision, site visits, and training as assigned.
  • Maintain confidentiality regarding agency operations and building security information.
  • Maintain high ethical and professional standards in accordance with agency policy.
  • Perform general administrative and documentation tasks associated with this position.
  • Other duties as assigned by management.
