About The Position

The Facilities Operations Controls Representative plays a crucial role in the daily operations of the Facilities Management department at the University of Miami. This position encompasses a variety of responsibilities including work order management, customer service, vendor management, quality assurance, and emergency management, all aimed at delivering high-quality service to the university community. The representative must possess strong customer service skills, a pleasant phone demeanor, and the ability to multitask and prioritize issues effectively. Conflict resolution skills, technical proficiency, and the ability to work both independently and as part of a team are essential for success in this role. In this position, the representative will utilize a Computerized Maintenance Management System (CMMS) and Microsoft Office applications to enter and analyze data. Responsibilities include scheduling and dispatching work using a two-way radio system, updating and distributing shutdown notices, and preparing various reports. The representative will also respond to escalated customer issues, maintain technician timekeeping, and perform other duties as assigned to ensure the smooth operation of the department. This role requires direct interaction with students, faculty, staff, vendors, and contractors, emphasizing teamwork, leadership, and cooperation. The Facilities Operations Controls Representative is expected to exemplify the university's DIRECCT behaviors and service standards in all job functions. This includes answering phone calls, addressing facilities issues, assisting in the planning and scheduling of maintenance and repairs, and ensuring timely communication with the university community. The representative will also monitor alarm systems, respond to emergencies, and maintain various contact lists for disaster preparedness. Overall, this position is essential for maintaining the operational integrity of the university's facilities and ensuring a high level of customer satisfaction.
