The City University of New York's Department of Facilities Planning, Construction, and Management (FPCM), through its recently formed Office of Facilities Maintenance, Operation, and Emergency Response, will lead the university's shared facilities services operations. The newly envisioned shared facilities services model will operate through the university's four regional maintenance hubs, supported by the business and administration teams operating from the facility's central office. The strategic goal of the shared facilities services is to ensure a standardized, professional level of facility operations, and centralized oversight for the maintenance and upkeep of CUNY's portfolio of 300 buildings and 26 million square feet of educational facilities. The Facilities Operations Center Dispatcher is a key member of the Operations Center team and serves as the first point of contact for all facilities-related service requests across the University. Dispatchers are responsible for receiving, documenting, and coordinating both emergency and non-emergency maintenance requests during business hours, ensuring timely communication with facilities staff at all hubs. This role ensures live response coverage between 8:00 AM - 5:00 PM, with dispatchers scheduled on shifts of either 8:00 AM - 4:00 PM or 9:00 AM - 5:00 PM.

  • Respond to facilities-related calls, emails, and Archibus requests; create and assign work orders.
  • Dispatch daily service calls and requests to the appropriate facilities personnel.
  • Coordinate service inquiries with management, trades, and hub staff.
  • Operate the Archibus CMMS system to log, track, and update all service activities.
  • Maintain accurate records and activity logs, including escalation of urgent issues to management.
  • Ensure calls are answered professionally and followed through to completion.
  • Communicate facilities-related emergencies promptly and effectively with hub management and the university community.
  • Bachelor's Degree required.
  • Extensive operational experience in facilities or service settings; strong knowledge of skilled trades communication and proficiency in Archibus CMMS.
  • Proven professionalism, phone etiquette, and customer service skills in interactions at all organizational levels.
  • Exceptional attention to detail with strong conflict, resolution, and problem-solving abilities.
  • Excellent listening and communication skills, with the ability to take initiative, manage complex situations, and convey information clearly.
  • Strong interpersonal skills with a demonstrated ability to build relationships and resolve challenges effectively.
  • Proficiency in computer-based data entry and email communication, with hands-on experience using Archibus CMMS.
  • Ability to work independently as well as collaboratively within a team environment.
