About The Position

Tidal Financial Group is seeking a Facilities & Office Operations Manager to oversee the development, maintenance, and operations of our physical office spaces while supporting a primarily remote workforce. In our distributed environment, this role ensures that our offices function as flexible, well-maintained hubs for collaboration, meetings, and events — and that all physical spaces operate smoothly even when team members aren’t on-site. This person will remotely manage vendors, coordinate real estate and build-out projects, monitor security and maintenance systems, and serve as the main liaison between our offices, landlords, and internal teams. They’ll also help connect the dots between our physical spaces and our remote work experience — making sure that whenever we gather in person, the space is ready, safe, and aligned with how our teams work today. This is a part-time, salaried role (20 hours/week guaranteed) with flexibility in scheduling. The role is primarily remote but may occasionally require on-site visits to any of our offices as needed.

Requirements

  • 5+ years of experience in facilities management, office operations, or workplace services.
  • Proven success managing real estate agents, contractors, and technical vendors.
  • Strong understanding of building systems (electrical, HVAC, security, fire safety, etc.).
  • Excellent communication, organization, and project management skills.
  • Comfortable working autonomously in a remote-first environment while managing on-site projects as needed.
  • Ability to travel occasionally to company offices.

Responsibilities

  • Partner with real estate agents to identify, negotiate, and secure new office spaces.
  • Manage office build-out projects including space planning, layout, and coordination with engineering teams.
  • Oversee installation of key systems such as security, access control, cameras, and electrical infrastructure, ensuring vendor work meets quality and safety standards.
  • Act as on-site representative or remote project lead during office openings, expansions, and renovations.
  • Design and maintain flexible spaces for drop-in work, small meetings, and team gatherings.
  • Coordinate 'office days' or mini offsites, including scheduling, supplies, catering, and tech setup for hybrid participation.
  • Track utilization patterns to inform whether the company should expand, downsize, or reconfigure layouts.
  • Serve as the primary contact for landlords, handling communications related to leases, building maintenance, and shared services.
  • Identify, vet, and manage vendors including exterminators, electricians, cleaners, and maintenance contractors.
  • Determine which responsibilities fall under landlord obligations versus company expenses, coordinating payment and contract approvals accordingly.
  • Manage remote monitoring tools to handle much of the facilities oversight digitally.
  • Direct on-site vendors via video calls or remote access tools.
  • Develop vendor playbooks for recurring maintenance.
  • Monitor and maintain operational readiness of all security and facility systems.
  • Partner with the tech team to ensure real-time alerting and response protocols for incidents.
  • Coordinate maintenance schedules, inspections, and repairs.
  • Oversee fire safety, signage, and building access logs to meet local requirements.
  • Maintain disaster and emergency protocols.
  • Audit physical security practices and ensure policies extend appropriately to hybrid employees and visitors.
  • Manage daily facilities requests, including access, repairs, and safety-related needs.
  • Track and log hours and tasks performed.
  • Support occasional company events or in-person gatherings by coordinating setup, supplies, and vendor support.
  • Maintain centralized documentation of vendor contracts, maintenance logs, and compliance checklists.
