Position Summary The Facilities Manager is responsible for the operational management, launch readiness, and ongoing support of all IQ Fiber facilities across current and future markets. This role ensures offices, warehouses, and technical spaces are safe, compliant, secure, cost-effective, and fully aligned with IQ Fiber’s operational and expansion needs. This role emphasizes lease administration, landlord coordination, tenant improvement (TI) management, and service-level oversight, while ensuring facilities support the specialized requirements of telecommunications operations. This is an onsite role, located in Jacksonville, FL.

Requirements

  • Bachelor’s degree in Facilities Management, Construction Management, Business Administration, or related field preferred.
  • 5+ years of facilities management experience in leased, multi-site environments.
  • Demonstrated experience managing tenant improvements and new facility launches.
  • Strong knowledge of commercial leases, TI processes, and landlord/tenant responsibilities.
  • Ability to interpret lease exhibits and operational obligations.
  • Project management and scheduling expertise.
  • Budgeting and cost control skills.
  • Strong vendor and stakeholder management capabilities.
  • Proficiency in Microsoft Office and facilities/work order systems.

Nice To Haves

  • Experience in telecommunications, utilities, or infrastructure-based industries preferred.

Responsibilities

  • Facilities Operations & Maintenance Serve as primary point of contact with landlords and property management firms.
  • Coordinate maintenance and repairs, clearly distinguishing landlord vs. tenant responsibilities per lease agreements.
  • Track and enforce landlord service obligations (HVAC, roof, structural, fire/life safety where applicable).
  • Escalate unresolved building issues through proper contractual channels.
  • Maintain all lease-related documentation, service contracts, warranties, and inspection records.
  • Support market expansion by coordinating facility readiness for new launches.
  • Partner with New Market Development, Project Management, IT, and Construction teams to: Evaluate leased spaces for operational suitability Review Tenant Improvement (TI) scopes and floor plans for telecom and warehouse needs Participate in lease and TI exhibit reviews (operational input, not legal negotiation)
  • Lead tenant improvement execution, including: Contractor coordination (where tenant-managed) Landlord coordination (where landlord-managed) Schedule and milestone tracking Budget oversight for tenant-controlled TI costs
  • Ensure new facilities meet operational readiness requirements prior to launch: Utilities activated Internet and network readiness Security systems installed Furniture, fixtures, and equipment (FF&E) in place Certificate of Occupancy (or equivalent) obtained
  • Develop standardized launch checklists and playbooks for leased facilities.
  • Ensure leased facilities support telecom operational requirements, including: Adequate power and environmental controls Secure MDF/IDF and equipment areas Warehouse and staging space for fiber and network equipment
  • Coordinate landlord approvals for: Equipment installations Cabling penetrations Backup power solutions (where permitted)
  • Ensure all technical modifications comply with lease terms and building rules.
  • Maintain lease abstracts and critical dates (renewals, expirations, notice periods).
  • Coordinate space planning, expansions, and reconfigurations within leased constraints.
  • Support lease audits and landlord reconciliations (CAM, utilities, operating expenses).
  • Provide data and operational input to leadership for space strategy decisions.
  • Source, manage, and evaluate vendors for tenant-responsible services such as: Janitorial Security monitoring Pest control Minor maintenance and repairs
  • Monitor vendor performance against SLAs and budget expectations.
  • Coordinate vendors with landlord schedules and access rules.
  • Develop and manage annual facilities operating budgets.
  • Forecast TI, move-in, and expansion-related costs.
  • Track lease-related operating expenses and variances.
  • Approve invoices and ensure accurate coding and cost allocation.
  • Ensure facilities comply with OSHA, local codes, and lease obligations.
  • Coordinate inspections and certifications with landlords (fire, life safety, elevators, etc.).
  • Maintain emergency preparedness and evacuation plans aligned with building protocols.
  • Support insurance claims and incident reporting related to facilities.
  • Manage tenant-controlled security systems: Access badges Cameras Alarm systems
  • Coordinate access with landlords and property managers.
  • Ensure secure access for telecom equipment areas.
  • Ensure leased spaces provide safe, functional, and professional work environments.
  • Support onboarding and market growth by ensuring workspace readiness.
  • Manage office moves and seating reconfigurations within leased spaces.
