About The Position

At Rhoda AI, we're building the full-stack foundation for the next generation of humanoid robots — from high-performance, software-defined hardware to the foundational models and video world models that control it. Our robots are designed to be generalists capable of operating in complex, real-world environments and handling scenarios unseen in training. You will be the person who makes sure Rhoda AI's physical environment is safe, organized, and ready for whatever the day brings — from a VIP investor visit to a freight delivery to a broken HVAC unit. You'll be the go-to for everything building-related, interfacing with our landlord, vendors, and service providers so the rest of the team can stay focused on building robots.

Requirements

  • 3+ years of experience in facilities management, office management, or a similar operations role
  • Strong vendor and service provider management — able to communicate clearly, follow up, and hold people accountable
  • Familiarity with OSHA / workplace safety requirements and EHS coordination
  • Highly organized and proactive; able to manage multiple open items without things falling through the cracks
  • Professional and polished when interfacing with VIP guests, customers, or investors
  • Comfortable in a hands-on, fast-paced startup environment
  • Strong written and verbal communication skills
  • Able to access and navigate all areas of the facility, lift 25lbs, and occasionally work off-hours or weekends as required

Nice To Haves

  • Experience supporting a lab, hardware, or R&D environment
  • Familiarity with building systems (HVAC, access control, security cameras) at a coordination level
  • Comfortable with basic technology tools for tracking tasks, orders, and vendor communications
  • Experience managing facility transitions or office moves

Responsibilities

  • Serve as the primary point of contact for all building systems (HVAC, IT, electrical, plumbing, waste, pest control) — coordinate with the landlord, own vendor management, and own preventative maintenance scheduling
  • Coordinate janitorial services and arrange supplemental cleaning as needed (e.g., before important visits or demos)
  • Ensure common areas, conference rooms, and lab spaces are clean, organized, and operational at all times
  • Track spending and budget for facilities
  • Badge and access management, security cameras, and physical security coordination with IT contractor
  • OSHA / workplace safety and EHS coordination
  • Emergency response readiness and incident management
  • Coordinate disposal of batteries and other specialty materials
  • Maintain a safe environment for employees, visitors, and contractors
  • Manage visitor logistics for demos, VIP visits (customers, investors, partners), and company events
  • Ensure conference rooms are properly set up and stocked ahead of important meetings
  • Coordinate with internal teams on timing, access, and special requirements for high-profile visits
  • Own break room operations: stock snacks, beverages, and kitchen supplies; manage restocking cadence and vendor relationships
  • Manage office supplies inventory; anticipate needs and reorder proactively
  • Serve as the central point of contact for incoming mail, packages, and freight; sort and route to the appropriate team members
  • Coordinate and schedule freight deliveries — direct carriers to the loading dock, communicate with internal teams, and ensure items are properly received and logged
  • Manage outbound shipments and courier requests; coordinate with carriers, riggers, and movers
  • Own space planning and occupancy management: seating assignments, room allocation, and coordinating internal moves
  • Support the logistics of moves and expansions, including coordinating with the landlord, movers, and internal teams on timing and setup
