About The Position

This role is a hands-on, highly dynamic facilities position responsible for keeping multiple NYC locations safe, functional, and welcoming. The Facilities and Maintenance Coordinator supports day‑to-day building operations by performing a wide range of basic maintenance tasks—including electrical, plumbing, HVAC, carpentry, painting, and general repairs—and by ensuring all building systems and commercial kitchen equipment remain in good working order. The position also plays a key role in preventive maintenance, routine inspections, and overall facility cleanliness. Beyond technical work, the role requires strong coordination, communication, and customer service skills. The Coordinator manages the work‑order system, conducts qualit y‑assurance walkthroughs, researches vendors, and serves as the on‑site point of contact for service providers, building management, and regulatory agencies. They collaborate closely with staff across departments to address facility needs and support operational tasks such as onboarding new hires, organizing supplies, and assisting with package handling.

Requirements

  • Ability to travel between NYC locations and communicate via text and Microsoft Teams
  • Ability to stand, walk, climb, stoop, kneel, reach, and lift up to 50 lbs; safely operate basic tools and equipment
  • Strong organizational, time management, and problem-solving skills; ability to manage multiple priorities across sites
  • Detail-oriented with strong documentation and reporting skills
  • Demonstrated commitment to workplace safety and regulatory compliance
  • Strong interpersonal and customer service skills; ability to interact respectfully with diverse communities in an LGBTQ-affirming environment
  • Proficiency with Microsoft Word, Excel, Outlook, and Teams
  • S-95 Certificate of Fitness for Fire Alarm Systems , or willingness to obtain within three months of hire

Responsibilities

  • Facilities Maintenance & Repairs Perform and/or coordinate basic painting, plumbing, electrical, HVAC, carpentry, and general maintenance repairs, including: Electrical: Replacing light bulbs, ballasts, and fixtures; resetting breakers or fuses; replacing outlets or switches where permitted; troubleshooting minor electrical issues
  • Plumbing: Repairing leaky faucets and sinks; unclogging drains or toilets; replacing washers, hoses, and minor fixtures; identifying and reporting larger plumbing issues
  • HVAC & Climate Control: Replacing air filters; checking thermostats and basic settings; cleaning vents; reporting major malfunctions
  • Carpentry & General Repairs: Repairing or assembling furniture; fixing doors, locks, and hinges; patching and painting walls; installing shelves, signage, or fixtures
  • Preventive & Minor Maintenance: Lubricating moving parts; cleaning gutters and drains; inspecting flooring, carpets, and tiles
  • Maintain working knowledge of building systems, including HVAC, fire alarm panels, sprinkler systems, and security alarms
  • Maintain, deep clean, and descale commercial kitchen equipment (e.g., hot/cold tables, dishwashers, refrigerators, freezers)
  • Assist with cleaning and general facility upkeep as needed
  • Vendor & Work Order Coordination Monitor and update the facilities ticketing/work order system and help determine service priorities
  • Conduct quality assurance site visits and document findings
  • Research vendors and provide recommendations to supervisor as issues arise
  • Coordinate and accompany vendors (e.g., pest control, fire alarm, and facilities service providers) during scheduled site visits; document outcomes
  • Serve as on-site point of contact during scheduled or unannounced visits from building management, fire department, or regulatory agencies; provide real-time updates to supervisor
  • Collaborate with office staff and other departments to coordinate maintenance and facility needs
  • Safety, Security & Compliance Support compliance with all applicable fire, safety, and security regulations, including: Conducting routine inspections of fire extinguishers, smoke detectors, alarms, emergency lighting, and exit signage
  • Ensuring emergency exits and safety equipment remain accessible and operational
  • Identify workplace hazards and collaborate with the supervisor to implement preventive measures that reduce risk.
  • Assist with opening and/or closing NYC locations as needed
  • Operational Support Assist with new hire onboarding, including workspace setup, office access, and equipment preparation
  • Inventory, organize, and replenish janitorial and maintenance supplies
  • Assist with receiving, logging, and distributing packages at headquarters
  • Perform other related duties as assigned
