About The Position

The Facilities Logistics Supervisor provides support to Facilities leadership with coordination, training, scheduling and supervision of the Facilities Department to include dispatching and monitoring of work orders. The Logistics Supervisor is responsible for guiding commodity management, warehousing, inventory control, procurement and productivity tracking. Key emphasis on PPE implementation. Advanced knowledge of Harm Reduction principles and Housing First initiatives as they relate to supplies and supply distribution.

Requirements

  • 1-2 years of supervisory experience or highly relevant technical experience in an equivalent position.
  • Experience in housing first and harm reduction principles, to include alignment with core principles.
  • Demonstrated ability to apply project management skills.
  • Strong ability to articulate complex information, principles and data in writing to executive audience.
  • Experience in development, implementation and maintenance of protocols.
  • Strong team orientation with the ability to teach staff members new tasks and techniques.
  • Ability to organize workloads of multiple staff at multiple projects.
  • High proficiency with using computers and/or electronic work order systems to include Bugzilla, Jira, and Paylocity.
  • Ability to communicate and work effectively with people from various backgrounds.
  • Ability to handle a wide range of unpleasant and/or bizarre behavior from clients.
  • Commitment to the philosophy of cooperation and continuity across programs and consideration and respect for clients.

Nice To Haves

  • Two years’ supervisory experience in property management, particularly in Affordable Housing and/or Permanent Supportive Housing.
  • Ability to use Excel at high level, to include pivot tables, conversion of CSV files, and ability to graph and chart.

Responsibilities

  • Prioritize maintenance requests and facilitate prompt response, utilizing the electronic work order system, consulting with Facilities Manager as needed. Working with Facilities Supervisors on department communication and proactive strategies for staff deployment based on volume, trend and data analysis.
  • Coordinate the schedules for maintenance and janitorial staff, in conjunction with Facilities Manager, taking into consideration emerging or ongoing facility matters at each DESC property and ensuring that each property has adequate coverage each day.
  • Review pending work orders, re-prioritize them, if needed, and provide updates to project managers and other relevant DESC staff regarding uncompleted work. Daily coordination with Housing, Clinic and Administrative Managers on status of open work orders to include timelines and deliverables.
  • Generate reports showing completed and pending work orders via the electronic work order system. Extrapolate data to produce Excel spreadsheets to analyze data, produce trend reports and algorithms to track productivity statistics.
  • Supervise and evaluate Facilities Coordinator and assist with supervision and evaluation of maintenance and janitorial staff as assigned.
  • Support Facilities Manager and Director of Facilities with hiring of janitorial and maintenance staff.
  • Lead maintenance, janitorial and other relevant DESC staff in the acquisition of necessary supplies and materials for cleaning and repair work. Develop tracking matrix in Excel and Word to create detailed supply lists. Develop and manage property inventory control procedures to ensure inventory accuracy and supplies are stocked for unit repairs.
  • Supports implementation of systemic supply process to ensure compliance with Federal, State and County procurement requirements. Examine systems and controls and provide recommendations for improvement of inventory efficiency.
  • Lead the Facilities Coordinator in ensuring continuity in supply ordering and enforcing policies and procedures on the purchasing and use of supplies approved for use in DESC facilities.
  • Implement agency safety protocols and ensure compliance with safety work plans. Ensure PPE is in stock and properly distributed throughout agency.
  • Respond to emergencies, initiating emergency maintenance actions, cleaning up debris, water, etc., and contacting supervisors. On occasion, respond to after-hours emergencies.
  • Coordinate with the Accounting Department to ensure timely processing of invoices.
  • Safeguard building and unit keys, never giving anyone access to occupied tenant units without authorization. Create, monitor and implement security protocols in relation to brass keys in coordination with the Facilities Manager.
  • Lead the Facilities Coordinator in managing Tennant equipment for damage and unsafe conditions and provide preventive maintenance, upkeep, and repair as needed. Develop and manage property inventory control procedures on equipment and repairs.
  • Assist other staff with large projects as assigned.
  • Participate in staff meetings and trainings, as assigned.
